Position Summary:
We are seeking a dedicated and highly organized Clinical Scheduler to join our healthcare team. This key administrative role ensures a smooth and professional patient experience from arrival to departure by managing appointment scheduling, coordinating communication, and supporting clinical operations. Key Responsibilities:
- Greet and assist patients professionally, ensuring a smooth flow from check-in to check-out.
- Answer and manage incoming telephone calls with professionalism and efficiency; resolve concerns or direct them to appropriate personnel.
- Accurately schedule appointments following physician instructions and established scheduling templates.
- Maintain and update patient records, including scanning lab results, correspondence, and documentation into the electronic medical record (EMR) system.
- Return patient phone calls promptly and follow up on prescription refills, appointment requests, and general inquiries.
- Call in prescription orders and changes as directed by providers; document accurately in the EMR.
- Verify patient insurance coverage, eligibility, and account details before appointments.
- Coordinate referrals and pre-authorizations in compliance with varying insurance requirements.
- Ensure compliance with HIPAA and office policies in all patient and staff interactions.
Additional Responsibilities:
- Open and distribute incoming mail.
- Maintain a clean, organized, and professional work environment.
- Provide occasional support for patients with mobility needs, including assistance with transfers and positioning.
Required Qualifications:
- High school diploma or equivalent required.
- Minimum of 2 years of experience in a physician’s office or healthcare setting.
- 3-5 years of experience in a medical office or administrative role preferred.
- Proficiency with electronic medical records (EMR) and patient scheduling systems.
- Strong typing skills (minimum 25 WPM) and basic computer proficiency.
- Excellent verbal and written communication skills.
- Knowledge of medical terminology and insurance procedures, including referrals and pre-certifications.
- Healthcare Provider BLS Certification required (or willingness to obtain upon hire).
Physical Requirements:
- Ability to sit or stand for 8–10 hours/day.
- Regular walking, bending, pushing, and lifting of 10–15 lbs.
- Capable of assisting patients with transfers to exam tables, wheelchairs, etc.
- Able to perform tasks requiring manual dexterity such as reaching, grasping, and handling.
