Sinai Health is looking for a Medical Secretary to support our Department of Obstetrics and Gynaecology at Mount Sinai Hospital.
As a Medical Secretary you will provide administrative and secretarial support to appropriate section head(s) and the department. The successful applicant will have an interest in providing trauma-informed care for our patient populations. Preference will be given to applicants who are clear in their ability to support us in this work
In This Role You Will
- Evaluate daily mail and faxes and answer all incoming telephone inquiries
- Maintain and update physician CVs including web-based common-CV
- Prepare the annual Academic Activity Report and Points Document (AFP)
- Track and submit CME activities for RCPSC
- Assist with the creation and submission of research proposals to granting agencies
- Assist with the creation and submission of manuscripts
- Type draft medical/legal, patient-related and personal correspondence as required
- Maintain the MD schedule/High-Risk schedule and contact information (Outlook calendar)
- Submit and track invoices (for payment) and receipts (for reimbursement) from research grants or departmental accounts as required
- Coordinate meetings, maintain schedules, and type/edit minutes - both in person and/or virtual meeting platform
- Perform clinical OHIP/Third Party billing responsibilities in the Maternal-Fetal Medicine Clinical Information System (CIS) as agreed within the group, on a regular basis
- Maintain the office environment and order office stationery supplies
- Facilitate the operations of an obstetrical and/or non-pregnant consultation clinic
- Manage clinic referrals
- Register patients (both CIS and Cerner), book appointments, and maintain the Patient Database
- Enter patient information into the billing system and prepare patient medical records prior to patient visits
- Conduct patient intake prior to clinical visits and record assessments in the patient medical record
- Prepare examining rooms for upcoming appointments and maintain necessary equipment and supplies as required
- Coordinate patient bookings for other hospital procedures and/or assessments and/or patient referrals
- Responsible for timely delivery of patient records to the in-patient unit
- Provide cross-coverage (clinical) relief to other medical secretaries within the division if required (sick, vacation)
- Perform other related duties as assigned by the immediate supervisor
Job Requirements
Mandatory
- Successful completion of a college diploma preferably in the field of Medical Secretary or Office Administration from an accredited educational institution
- Minimum two (2) years of recent secretarial experience preferably working in a clinic/health environment
- Applicants with proven equivalent recent and related training and experience may be considered
Skills and Knowledge
- Proficient in Microsoft Word, Excel, Power Point, Outlook
- Medical dicta-typing skills
- Knowledge of computerized OHIP billing experience preferred (Clinical Information System).
- Familiarity with electronic patient record system(s)
