About The Position
We are looking for an
Administrative Assistant to support the HR team and C-Level Management team with daily administrative tasks related to various fields, including payments, access, calendar and meeting management, and travel arrangements. The ideal candidate is
very organized, can follow the process and work multiple tasks effectively, and has high attentiveness to detail.

Requirements
- 2+ years of experience as an Administrative Assistant, Executive Assistant, Department Assistant, or in a similar role.
- Strong organizational skills — ability to structure and organize information effectively for teams.
- Excellent multitasking skills — you’ll handle many small and varied tasks while managing multiple priorities simultaneously.
- Tech-savvy, with experience using task and project management tools (e.g., Notion, Asana, Trello, or similar).
- Excellent written and verbal communication skills.
- High attention to detail — especially when working with financial information.
- Proactive, resourceful, and able to work independently in a fast-paced environment.
- Bachelor’s degree in Business Administration, HR, or a related field.
Details
The role is a remote position, with a 40-hour workweek, flexible working hours, and occasional overlap with the US team.
Responsibilities
- Provide support for operational projects for the HR team.
- Support the CEO with email correspondence and meeting arrangements.
- Manage access to all platforms.
- Arrange travel for the leadership team, including booking tickets and hotels.
- Monitor travel and software budgets: collect requests and record actual expenses.
- Assist with scheduling and organizing team meetings
- Conduct access audits regularly.
- Handle document management and the filing system.
- Assist with collecting payments and invoices, and prepare weekly and monthly reports.
