About the Role
We are seeking a Surrogacy Specialist to manage the entire gestational carrier journey — from recruiting and qualifying surrogates to matching them with Intended Parents and coordinating every milestone through delivery. This role blends relationship-building, logistical precision, and deep knowledge of fertility best practices.
What You’ll Do
- Recruit & Qualify Surrogates – Source, educate, and screen candidates using ASRM-aligned criteria.
- Match with Intended Parents – Assess compatibility, facilitate introductions, and guide both parties through the match process.
- Manage End-to-End Process – Coordinate medical screening, psychological evaluations, legal steps, transfer scheduling, pregnancy updates, and delivery planning.
- Provide Ongoing Support – Serve as the single point of contact, resolving issues and ensuring a smooth, empathetic experience.
- Maintain Compliance – Ensure all steps meet ASRM, clinic, and legal requirements.
Key Responsibilities
- Lead GC sourcing campaigns and manage inbound applications.
- Coordinate all medical, psych, and legal screenings for both GC and IP.
- Facilitate match process, ensuring compatibility and readiness.
- Oversee cycle calendar, insurance verification, escrow funding, and clinic coordination.
- Maintain case files in CRM/EHR with audit-ready documentation.
- Serve as single point of contact through pregnancy to delivery.
- Close cases post-birth, ensuring legal parentage and expense reconciliation.
KPIs & Performance Goals
- Meet monthly goal of screened, qualified GC (gestational carrier) applications.
- Maintain outreach cadence to prospective surrogates, ensuring all leads receive follow-up within 48 hours.
- Achieve 95% on-time completion of all medical, psychological, and legal screening steps for both surrogates and intended parents.
- Maintain proactive communication with both parties throughout the match process, with documented updates at least every 2 weeks until match is confirmed.
- 100% compliance with ASRM guidelines for screening, psychological evaluation, and legal documentation.
- Ensure all records are complete, audit-ready, and entered into EHR/CRM within 48 hours of receipt.
- Ongoing Communication & Case Management
Provide regular, documented updates to surrogates and IPs during each stage of the journey (screening match transfer pregnancy
- delivery) according to service-level agreements.
Qualifications
- Min 2+ years in surrogacy, third-party reproduction, IVF coordination, or related case management.
- Strong project management skills and ability to handle multiple complex cases.
- Exceptional communication skills with high empathy and discretion.
- Familiarity with ASRM guidelines and fertility clinic operations.
- Proven experience in matching and/or recruiting.
- Strong conflict resolution, multitasking, and data tracking skills.
