We are currently seeking a full-time Lab Assistant to join our Grand Rapids, MI team. The Lab Assistant is required to support the mission, vision, values, and strategic initiatives of Ovation Fertility and must demonstrate a commitment to provide quality service to patients, physicians, coworkers, and the public. The schedule is Monday-Friday 7:00am-3:00pm.
How You'll Contribute:
- Answer phones, directing all phone calls to the appropriate resource
- Enter patient medical data into the patient EMR system as directed
- Monitor emails coming to the IVF laboratory staff and follow up as needed
- Monitor flags and documents in the EMR and send them to the IVF Lab Group and follow up as needed
- Review consent forms for accuracy before processing
- Monitor schedules for the daily ART procedures (egg retrievals, embryo transfers, male infertility procedures) and prepare patient packages
- Prepare dishes for patients the day prior to procedures, culture changes, ICSI, and Biopsy dishes
- Scan completed IVF lab forms into patient EMR in a timely manner
- Assists with data input and collection of ongoing SART worksheets. Audit IVF patient EMR to obtain the required information. Transfer selected data from patients’ paper reports and EMR into the current database daily
- Assist embryologist/andrologist with shipping and receiving of embryos, oocytes, and sperm
- Label cryo devices and note storage locations
- Assist lab director and lab supervisor with data input and presentation as needed
- Assist with quality assurance and quality control of equipment and of patient charts
- Handle mail, packages, and supplies for the IVF Lab department
- Perform housekeeping tasks within the lab to maintain a clean and orderly work area
- Other duties as assigned

- Coordinate shipping for sperm, eggs and embryos with patient and shipping/receiving facility
- Prepare charts for Embryology Lab
- Add upcoming cases to the IVF spreadsheet
- Make sure consents are completed for upcoming IVF and FET patients. If not complete add a note on the surgical grid for the consenting department
- Look out for thawpsy and egg thaw billing consents are cleared. (surgical Grid Note). Send out email to grand rapids billing and copy Jaimie Anderson if consents are not cleared
- Check emails
- Print out and pull charts
- PGT results and Dispositions
- New Patient Visits
- Print lab notes for “back from Lab” charts
- Upload checked notes to EPIC
- Scan Sperm Wash paperwork into Artisan, Add Andrology notes in Artisan if needed
- RCM spreadsheet, add completed cases
- Order office supplies (when needed)
- Entering HCG results in artisan lite and IVF spreadsheet by the first week of the month for the previous month
- Entering pregnancies results in Artisan lite and IVF spreadsheet by the end of the month for the previous month
- RCM spreadsheet should be revised and completed every 3rd of the month for the previous month
- Prepare FET picture cards
- Make new patients’ charts, add log and chart number
- File completed charts where they belong
- Print out from the media lab when needed: SART form, IVF summary, FET summary Andro worksheet, Cryo log
- Order office supplies (when needed)
What You'll Bring:
- Bachelor’s degree in Biology, Medical Technology, Genetics, Reproductive Biology, or Cell Biology required
- 1+ year of data entry experience into EMR system
- Ability to work weekends, and holidays on a rotating basis with other teammates
- Excellent interpersonal communication skills
- Excellent organizational skills
- Ability to work independently
- Exceptional written and verbal communication skills and attention to detail
- Ability to work as part of a team
- Good research skills
- Tech savvy
