Viva Eve, New York's premier health destination for women, seeks a skilled and detail-oriented Pre-Operative GYN RN Navigator to join our clinical team. As a key member of our organization, you'll play a crucial role in supporting patients through their gynecologic procedure journey, ensuring optimal preparation and care coordination.

Viva Eve seeks a specialized Pre-Operative GYN RN Navigator to support safe and efficient preparation for gynecologic procedures such as Uterine Fibroid Embolization (UFE). In this role, you'll work closely with providers, procedural teams, and patients to coordinate care, complete chart reviews, transcribe data into tracking tools, and prepare standardized pre-operative documentation.
What You'll Do:
- Patient Communication & Education: Initiate pre-op outreach via phone and Klara messaging to educate patients on procedure logistics, fasting, medications, and arrival instructions. Direct patients to pre-operative educational resources and address follow-up questions. Provide medication pickup reminders and reinforce patient expectations. Review and clarify allergy history; assess risk of contrast reaction and coordinate premedication as needed.
- Medication Coordination: Identify need for medications (e.g., prednisone, antibiotics) per protocol based on allergy risk and procedure type. Communicate prescription status and special case needs (e.g., GLP-1, blood pressure optimization) to the IR and PCT teams. Track medication pickup timelines and follow up with patients as necessary.
- Comprehensive Chart Review & Case Readiness: Conduct detailed review of each patient's EHR to assess readiness for procedure. Identify missing labs, imaging, expired workups, or unresolved medical conditions. Escalate clinical concerns to NP or MD for clearance or further management. Schedule follow-up labs or optimization appointments based on review.
- H&P Documentation & Packet Preparation: Complete and format standardized History & Physical (H&P) packets for direct-booking or upcoming procedure cases. Ensure timely completion of H&Ps for prior authorization and pre-op clearance. Validate and transcribe key patient data (e.g., history, meds, allergies, vitals) from EHR into H&P forms and procedural packets.
- Data Entry, Tracking & Team Communication: Input chart review findings and patient status updates into Excel-based or EMR-integrated tracking tools. Maintain and update patient spreadsheets with key pre-op milestones. Send summary emails to PCTs, IR team, and NP team outlining no-answers, incomplete tasks, or flagged items. Upload finalized checklists and documentation to TEAMS for team access.
- Clinical & Workflow Collaboration: Partner with PCT and NP teams to align scheduling, checklist distribution, and team rounds coordination. Support implementation of workflow improvements and reduction of duplicate data entry. Contribute to evaluation and implementation of integrated platforms to streamline care coordination.
Who You Are:
- Associate's or Bachelor's Degree in Nursing (BSN preferred)
- Current RN license in NY
- 1+ years clinical RN experience (OB/GYN, IR, surgical, or perioperative setting preferred)
- Experience in chart review, patient navigation, or procedural coordination preferred
- Strong clinical judgment and attention to patient safety
- Excellent organizational, documentation, and time-management skills
- Effective communicator with patients and interdisciplinary teams
- Comfortable working independently with accountability for patient readiness
- Ability to identify process gaps and contribute to system improvements
- Proficient in EHR, Microsoft Excel, Outlook, and TEAMS
- Familiarity with HIPAA-compliant messaging systems (e.g., Klara)
- Ability to transcribe medical data with high accuracy and clinical understanding
Schedule:
- Monday to Friday with variable hours based on case load (approximately 4-5 hours per day, ~20 hours per week)
- Occasional weekend support or follow-up duties as needed
