Job Overview:
We are a leading fertility practice looking for a dedicated and adaptable Medical Assistant to support both clinical and administrative functions in our practice. This role is essential in assisting providers and ensuring a smooth, compassionate patient experience throughout fertility treatments. The ideal candidate will be organized, detail-oriented, and capable of thriving in a fast-paced, emotionally sensitive healthcare environment.
Key Responsibilities:
Patient Interaction and Customer Service:
· Provide high-quality customer service and maintain strong, compassionate patient communication at all times.
· Exhibit professional telephone courtesy and answer incoming calls promptly and efficiently.
· Offer patient education regarding treatment plans, medications, and follow-up care instructions.
· Provides training to patients and educates them regarding IVF, ovulation induction, oocyte retrieval, and embryo transfer procedures.
· Demonstrate sensitivity to cultural differences.
Clinical Support:
· Prepare patients for examinations and assist the physician or nurse practitioner during medical procedures.
· Perform diagnostic tests such as recording vital signs and conducting phlebotomy.
· Collect and process laboratory specimens (blood, urine, etc.) for diagnostic testing.
· Maintain a clean, organized, well-stocked clinical environment, including exam room preparation and instrument sterilization.
· Support patient care during in-office procedures and triage patient concerns in coordination with healthcare providers.
· Assist the surgeon during oocyte retrievals and maintain custody of the tissue while transporting the sample to the embryologist from the operating room.
· Assist with the operation of the ultrasound control panels during surgeries.
· Prepare heating blocks and tubes prior to oocyte retrieval; monitor of heating block temperature, as well as suction readings during the surgery.
Documentation and Record-Keeping:
· Accurately document patient information and perform thorough intake using Electronic Health Record systems.
· Update patient charts with medical histories, current medications and allergy information.
· Maintain organized records and ensure adherence to HIPAA and patient confidentiality standards.
· Ensure lab results are available for follow-up visits, track abnormal lab results and document test requests.
Administrative Duties:
· Possessing comprehensive knowledge of Kofinas Fertility Group services, locations, and departments to accurately direct patients to the appropriate party.
· Obtain treatment cycle prior authorizations from insurance companies for multiple providers
· Monitor inventory and order supplies when necessary
· Schedule appointments for ancillary services as needed.
This role combines essential clinical care with administrative efficiency, making it a critical part of the healthcare team’s ability to deliver excellent patient services.
Qualifications:
- Education: Associate’s degree or higher is required, preferably in healthcare administration, or a related field.
- Certification: Certified Medical Assistant (CMA or RMA) required.
- Experience: Minimum of 1-2 years in of experience in a medical practice.
- Technical Skills: Proficiency in using EMR systems and Microsoft Office Suite.
- Knowledge: Familiarity with medical terminology, procedures, and best practices.
- Communication Skills: Strong written and verbal communication skills to interact with patients and healthcare professionals. Exceptional phone skills and the ability to multitask while delivering high-quality customer service are essential.
Experience:
· EMR systems: 1 year (preferred)
· Vital signs: 1 year (preferred)
