Job Summary
We are seeking a detail-oriented and highly organized Medical Billing Coordinator to join our team. This position requires a high level of attention to detail, knowledge of infertility procedures, and experience working with commercial insurance plans, prior authorizations, and patient billing. The Infertility Billing Specialist is also responsible for handling all aspects of medical billing, coding, and insurance follow-up specifically related to fertility treatments and services. This position also manages the day to day operations of the front office. The ideal candidate will play a crucial role in managing billing processes, ensuring accuracy in accounts receivable, and maintaining compliance with financial regulations. This position requires strong analytical skills and proficiency in various software to facilitate efficient billing operations.
Responsibilities
- Accurately code and bill for infertility-related services including ultrasounds, labs, procedures (e.g., IUI, IVF), consultations, etc.
- Submit insurance claims electronically and follow up on denials, rejections, and unpaid claims
- Post payments
- Reconcile end of day payments to bank and credit card merchant
- Understand and correctly apply modifiers and CPT/ICD-10 codes for reproductive endocrinology and infertility
- Verify patient insurance coverage and fertility benefits; obtain necessary authorizations and referrals
- Create/review patient cost estimates for infertility treatment cycles and review with patient
- Create/follow up on prior authorization requests
- Work closely with clinical staff to ensure appropriate documentation for billing
- Post payments, reconcile accounts, and assist with monthly financial reporting
- Stay current on insurance and billing regulations, especially related to infertility coverage and coding changes
- Become well versed on front office day to day operations and fill in as needed.
- Process and manage billing cycles, including invoicing and collections for accounts receivable.
- Provide excellent customer service by addressing billing inquiries and resolving issues promptly.
- Maintain accurate records of medical collections, including CPT coding and ICD-10 terminology.
Qualifications
- 2+ years of medical billing experience, preferably in infertility, OB/GYN, or women’s health practice
- Proficient in medical coding (CPT, ICD-10, HCPCS); certification (e.g., CPC, CMRS) is a plus
- Strong knowledge of infertility treatments and related procedures (IVF, IUI, diagnostic testing, etc.)
- Experience with insurance verification, pre-authorizations, and claim appeals
- Familiarity with EHR and billing systems (e.g., eClinicalWorks, Athena, etc.). We utilize eIVF.
- Excellent organizational skills and attention to detail
- Strong communication and interpersonal skills; ability to handle sensitive patient information and situations with professionalism and discretion
- Strong problem-solving and analytical skills, as well as attention to detail and accuracy
- High school diploma or equivalent, with additional education or certification in medical billing or healthcare management preferred
- Ability to work independently while managing multiple tasks in a fast-paced environment.

Pay: $24.00 - $28.00 per hour
