We are seeking a Medical Office Assistant (MOA) to join our growing team. In this role, you will be the key link between patients and our clinical team—providing compassionate administrative and clinical support to ensure care is well-organized, timely, and personalized. You will help patients navigate their fertility journey with professionalism, empathy, and attention to detail.
Key Responsibilities
1. Patient Interaction & Coordination:
- Serve as a primary contact for patients, offering clear communication, empathy, and guidance throughout their treatment process.
- Educate patients on next steps, timelines, and preparation for appointments or procedures.
- Address patient inquiries with professionalism and compassion, ensuring clarity and support.
- Assist in coordinating care between physicians, nurses, and laboratory staff.
2. Scheduling and Communication:
- Schedule and confirm consultations, monitoring appointments, and procedures.
- Ensure patient charts and intake forms are complete before visits.
- Maintain the Medical Director’s calendar and assist in optimizing daily clinic flow.
- Communicate appointment updates or treatment adjustments promptly to patients and the care team.
3. Administrative & Clinical Support:
- Prepare, update, and maintain patient charts and treatment records in the EMR (eIVF) system.
- Support the medical and nursing teams by ensuring accurate documentation and timely communication.
- Assist with test results, physician correspondence, and treatment coordination.
- Ensure patients are onboarded smoothly, including intake completion and consent management.
4. Financial & Documentation Management:
- Process payments, issue invoices, and ensure accurate recordkeeping.
- Assist patients with insurance forms and financial documentation.
- Maintain confidentiality and compliance regulatory bodies
5. Quality and Patient Experience:
- Contribute to quality assurance initiatives and patient satisfaction improvement efforts.
- Monitor patient feedback and identify opportunities for enhanced communication or service delivery.
- Maintain a professional, welcoming, and supportive clinic environment.
Experience:
- 2–3 years of experience in a patient-facing role within a medical or fertility clinic setting.
- Familiarity with electronic medical records (EMR) systems; eIVF experience preferred.
- Experience in fertility, OB/GYN, or reproductive health is an asset.

Job Type: Full-time
Pay: $19.00-$22.00 per hour
