About the role
The Junior Accounting Clerk/Junior Accountant supports the financial department by performing a range of administrative tasks and accounting duties, including updating financial records, processing invoices, assisting with financial reports and maintaining databases and spreadsheets. Other tasks include receiving and placing patient calls, filing paperwork, performing data entry and scanning documents. To thrive in this role, the incumbent is required to build and maintain collaborative relationships within Anova, as various functions rely on each other. Crucially, you will share the founder, Dr. Marjorie Dixon’s commitment to being the gold standard for successful reproductive health and fertility centres. This position will work closely with all members of the Finance team but will ultimately report to the CFO.
Main Duties & Responsibilities
General
- Collaborates effectively with co-workers across departments
- Consistently arrives at work, appointments, meetings, and events on time
- Writes clearly and informatively and edits work for spelling and grammar
- Maintains confidentiality and security of business and patient information
- Handles expected share of workload at required quality level (productivity)
- Complies with policies and protocols, as amended from time to time
- Completes all required training to perform job duties effectively
Role-Specific
- Supports the accounts receivable process including generating invoices and following up with patients regarding outstanding invoices
- Assist with the accounts payable process including invoice input
- Assist with bank transaction reconciliation
- Monitor shared email inboxes for patient and vendor communications
- Monitor finance related tasks in Accuro
- Act as initial point of contact for all incoming calls from patients
- Assist with creating financial reports
- Update financial and medical databases and spreadsheets
- Respond to inquiries from patients and staff, in person, by phone and via email
- Ensure that records are current, correct, legible and traceable
- Maintain strict confidentiality and security of records and patient information
- Other duties as assigned related to the finance department
Qualifications and Requirements
- Diploma in office administration, including accounting courses or equivalent experience
- At least one (1) year of relevant experience in an office environment, with track record of performing administrative tasks with accuracy and speed
- Experience with accounting software, ideally including QuickBooks
- Strong knowledge of bookkeeping and basic accounting procedures
- Strong math and administrative skills
- Track record of regular and punctual attendance
- Pleasant telephone manner and effective communication skills
- Experience with Accuro an asset
