We are currently looking to hire a full-time Front/Back Office Medical Assistant. The right candidate will be providing great customer and patient care while supporting the IVF Physician and medical team for all front/back office duties.
Back office medical assistant plays a crucial role in ensuring the smooth operation of a medical facility. Their duties and responsibilities can be broadly categorized into administrative clinical tasks:
Administrative Duties:
· Maintaining Medical Records: Accurately updating patient charts with medical history, medications, allergies, immunization records, and treatment plans.
· Medical Billing and Coding: Assigning appropriate medical codes to diagnoses and procedures for insurance billing purposes.
· Managing Patients Referrals: Coordinating referrals to specialist and ensuring patients receive necessary care.
· Ordering Medical Supplies: Maintaining inventory and placing orders for essential medical supplies.
Clinical Duties:
· Taking Vital Signs: Recording blood pressure, temperature, pulse, respiration rate, and oxygen saturation levels.
· Preparing Patients for Examination: Assisting with tasks like taking weight and height measurements, recording allergies, and prepping patients for procedures.
· Assisting with Medical Procedures: Helping doctors during examinations and procedures by handing instruments and sterilizing equipment.
· Collecting Laboratory Specimens: Drawing blood, collecting urine samples, and semen samples.
Characteristics and Success of a Back Office Medical Assistant (MA)
To be a successful in this role, a back office medical assistant should possess a combination of hard and soft skills:

Responsibilities and Duties
- Promptly answering a high volume of phone calls.
- Accurately taking and delivering messages to appropriate providers and staff.
- Daily faxing, scanning, and data entry.
- Scheduling new and returning patients.
- Maintains knowledge of all providers’ schedules and restrictions. Patients’ check-in and check-out.
- Verification of insurance, collecting co-payments, deductibles, and balances.
- Office administration: including but not limited to stocking supplies, filings, and organizations, turning music/TV on/off, and making sure the surrounding environment of all suites are clean and welcoming.

Qualifications and Skills
- Entry level position with career development.
- Associates degree required, Bachelor degree preferred.
- Must be able to work in a fast-paced environment, multiple tasking, team player.
- Excellent customer service skills with outstanding phone and written/verbal communication skills.
- Positive and upbeat personality.
- Must be able to work under general supervision and stressful situation.
- Professional and mature demeanor with presentable appearance.
- Excellent organization abilities.
- Bilingual Chinese and/or Spanish a plus, but not required.
- Previous experience in the fertility or OBGYN field is preferred but not required.
- Must have an interest in fertility/women’s health.
