POSITION SUMMARY
The Medical Records employee handle all incoming and outgoing records and referrals. This individual will review records for completeness and accuracy. He or she must maintain confidentiality at all times.

Essential Functions Statement(s)
● Process all incoming faxes into the medical record
● Answer incoming phone calls and handle all medical records request from patients, hospitals and other facilities.
● Return calls, messages and emails to patients within appropriate time frame.
● Ensure the medical record is accurate, complete and organized
● Create digital copies of paperwork and move into the record electronically
● Prepare records for subpoena’s and attorney’s offices
● Prepare invoices for medical records
● Take payments for medical records and forms
● Make outbound calls to obtain records needed by the physicians and staff
● Scan information into the medical record
● Complete HEDIS requests from insurance companies.
● Send certified letters
● Complete breast pump orders and fax to appropriate suppliers
● Answer incoming phone calls and handle all incoming and outgoing referral requests from patients, hospitals and other facilities
● Fax records and/or call offices to schedule outbound referrals and scans
● Obtain authorizations for radiology appointments scheduled
● Ensure that patient is scheduled for referred appointment and the chart is updated accordingly
● Ensure that the notes are received from the scheduled outbound referral to complete the referral loop
● Process inbound referrals, ensure correct department receives, and inform preloaders.
● Ensure that completed note is sent back to the referring providers.
● Fill out FMLA paperwork and forms
● Work within proper practice procedures set by supervisor
● Analyze procedures and make recommendations to supervisor for improvements
● Assist with MIPS program as deemed necessary based on yearly guidelines. ● Perform any other tasks, as needed by the practice

SKILLS & ABILITIES
Education: High School Diploma, or equivalent
Experience: 1 year Medical Records and Referral experience, required.
Computer Skills: Ability to efficiently operate computers. Comfortable with Microsoft Office.
