Position Overview
We are seeking a compassionate and professional Receptionist to join our fertility clinic team. This role requires exceptional interpersonal, organisational and multi-tasking skills.
Key Responsibilities
Patient Care & Communication
- Greet patients warmly and provide a welcoming, supportive environment
- Handle patient inquiries with empathy and professionalism, understanding the sensitive nature of fertility treatments
- Manage patient check-ins and ensure accurate registration details
- Coordinate patient flow and communicate wait times effectively
- Maintain strict patient confidentiality in accordance with healthcare regulations
Administrative Duties
- Schedule appointments for consultations, treatments, procedures, and follow-ups
- Manage multiple appointment calendars for doctors, nurses, and treatment rooms
- Process patient payments
- Maintain accurate patient records and update contact information
- Handle incoming phone calls, emails, and online appointment requests
Clinical Support
- Prepare patient files and treatment schedules for clinical staff
- Assist with reminders regarding consent forms and necessary documentations
- Coordinate any prescription collections
- Liaise between patients and clinical team regarding appointment changes or urgent queries
Facility Management
- Maintain reception area cleanliness and organization
- Monitor waiting room comfort and address any patient needs
- Handle basic equipment maintenance requests and facility issues
Essential Requirements
Qualifications & Experience
- Minimum of 1 year reception experience, preferably in healthcare setting
- Understanding of basic medical terminology

- Exceptional communication and interpersonal skills
- Fluent verbal and written English is an essential requirement
- High level of emotional intelligence and empathy
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office Suite and an ability to learn quickly on the job

Working Times
