Location: Victoria Clinic, On site
Work Schedule: 7:15am – 3:15pm, 5 days a week, including weekends and holidays (37.5 hours).
Overview:
Supporting the Vision, Values, Purpose, and Commitment of Olive Fertility Centre:
This position supports our Reproductive Endocrinology and Infertility (REI) specialists and their nursing teams. You will be responsible for delivering the highest level of customer service to Olive patients. This full-time position requires a motivated, energetic, self- directing individual able to work in a busy, professional, multi-tasking environment. You are required to provide exceptional patient centred care in a friendly, calm, personable manner and be able to work accurately and efficiently while interacting effectively and in a supportive manner to all Olive’s diverse patients.
Key Areas of Involvement Include:
- Coordinate patient orientations and treatment pre-requisites and appointments:
- Sending appropriate consents prior to orientation
- Schedule routine procedures as required.
- Daily consent checks of the following:
- Daily Trigger list
- Upcoming Egg Retrieval (OPUs)
- CPERS for the following three (3) Calendar days
- IUI Procedures for the following day
- Any special procedures, such as Egg Thaw or PESAs schedule for that week
- Igenomix set-Ups.
- Chart maintenance – ensuring completeness of required tests.
- Loading requisitions for patient work-up.
- Circulate patients to appointment rooms and preparing rooms for exams.
- Perform Vital Signs on patients undergoing physicals; take height & weight on patients when needed
- Assist physicians at ultrasound appointments, diagnostic exams, and endometrial biopsies.
- Triage patient communication to appropriate team members.
- Assist Nursing in cycle set up and chart prep.
- Follow up on IDBW/Compliances
- Assist with new referrals and new patient with administrative tasks
- Coordinate satellite care for out-of-clinic patients
- Work collaboratively with other clinic locations as necessary
- Other administrative duties based on operational needs.
Qualifications:
Education, Training and Experience:
- Graduation from Grade 12 and completion of Medical Office Assistant certificate program or Nursing Unit Clerk program.
- Five years’ work experience in a specialist’s office scheduling multiple types of appointments
- Five years’ experience working collaboratively with other healthcare professionals within a medical facility.
Skills and Abilities:

- Physically able to lift and carry up to 30lbs.
