Planned Parenthood Columbia Willamette (PPCW) is recruiting for an Accounting Specialist to join our Finance team!

About the Role: The Accounting Specialist administers the full Accounts Payable cycle, computing, classifying and recording financial transactions in the general ledger to ensure the records of the organization are accurate. The Accounting Specialist works with all members of the finance team, medical billing team and clinical inventory specialists to research accounting discrepancies and also works with vendors to ensure accurate and timely receivables.
Schedule Expectations: This is a full-time position, (40 hours per week), Monday – Friday, 8:00am – 4:30pm.

- Required Qualifications:
- High School diploma or equivalent
- 2-3 years relevant experience
- Intermediate to advanced excel skills (formulas, sorting, v-lookups, pivot tables)
- Efficiency and organizational skills required
- Demonstrated ability to work independently and with great attention to detail
- Critical thinking and problem-solving skills required
- Discretion and discernment regarding confidential and sensitive company and employee information required.
- Willingness to learn more about and train on topics that may include, but are not limited to health equity, racial justice, reproductive justice, cultural humility, and trauma-informed care.
- Willingness to contribute to an inclusive work environment by using trauma-informed principles in interactions with coworkers, patients, donors, volunteers, and community partners.
Preferred Qualifications:
- Associates certificate or academic coursework in accounting preferred
- Experience in accounting and inventory software preferred (MIP, Microix, Abila)
Total Rewards: The full wage range for this position is $28.31 to $41.25 hourly depending on experience. Physical Requirements:
- Constantly operates a computer and other office equipment such as scanners and printers.
- Travel on occasion and attend in person meetings as requested.
- Work a combination of in person and remotely as position requires.
Location: This position is hybrid/telework, meaning you will be working both remotely and in-person at a PPCW location and within the community and various settings. All PPCW employees must reside in Oregon or Washington. The onsite work location for this position is Flanagan Regional Service Center in Northeast Portland, OR. This position requires in-office work Tuesdays and Thursdays weekly.
Essential Functions:
Accounts Payable
- Full AP cycle processing and maintenance in a complex, fast moving healthcare environment
- Independently manages AP email inbox and serves as primary contact for all AP functions
- Work with Health Center Inventory Specialists and Inventory Manager to ensure accurate and efficient management and payment of inventoried and non-inventoried supplies
- Assist with execution of strategic market initiatives related to purchasing and asset management
- Maintain prepaid accounts
- Maintain current year and prior year vendor files
- Assist with management of sensitive & strategic vendor relationships
- Journalize and reconcile monthly AP accruals prior to month end close
- Receives, records and deposits Cash Receipts
- Archival of AP and Cash Receipts
- Process cash disbursements including employee reimbursements
Reconciliations
- Reconcile various balance sheet accounts monthly, including credit card statements and payroll accounts
- Reconcile and upload Development donations monthly
- Includes the handling of confidential donor information
- Assists with daily bank reconciliations
Reporting
- Classify, record and summarize financial data
- Submit Unclaimed Property reporting annually
- Generate year-end 1099 tax forms and federal report 1096
Other Duties
- Collect, sort and distribute mail
- Assist with AR invoice preparation to third parties
- Assist with annual audit preparation as needed
- Complies with federal, state and organizational policies, procedures and regulations
- Performs other duties as needed or directed by the Chief Financial Officer
