Job Overview
POMA Fertility, a Pacific Northwest leader in IVF and fertility care, is seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional support to both staff and patients. This position requires strong communication skills, proficiency in various office software, and the ability to manage multiple tasks efficiently. Typical hours are Monday-Friday, 7am-3:30pm. Our clinic was voted as one of the Top Fertility Clinics in America by Newsweek (2023, 2024, 2025) and the Best Fertility Specialist in the PNW (2024).

Duties

Provide outstanding customer support by addressing inquiries and resolving issues promptly.
Assist in managing front desk operations, support receptionist duties, including patient check-in/check-out processes, as needed.
Perform data entry tasks with accuracy and attention to detail.
Assist in calendar management, scheduling appointments, and coordinating meetings
Coordinate, plan, and execute clinic events
Assist in referral network marketing and communication
Maintain organized office files and documentation for easy retrieval
Proficiently use tools for document creation, collaboration, and communication.
Collaborate with team members to ensure effective workflow and project completion.
Other tasks and projects as assigned by management

Requirements

Proven experience in an office or administrative role is preferred.
Strong customer support skills with a friendly demeanor.
Familiarity with data entry processes and clerical duties.
Excellent calendar management abilities to prioritize tasks effectively.
Proficient in using computers and various software applications
Previous experience as an administrative assistant is a plus, but not required.
Strong organizational skills with the ability to multitask in a fast-paced environment.
Excellent verbal and written communication skills.
