Responsibilities:
- Greet and assist patients in a professional and friendly manner at the front desk (reception), adhering to our code of conduct and with clear, polite communication consistently
- Answer and make phone calls, schedule appointments, and manage the bookings and schedules of both Dr. Hoover and Dr. Lammers, with the help of our other MOA staff in a structured schedule of rotating responsibilities
- Maintain patient records electronically within our Accuro QHR electronic medical records system (EMR), and ensure accurate filing and organization of medical documents throughout your work in our EMR
- On a rotation with the other MOA, you will book operations at Bluewater Health (BWH) as directed by the doctors in their operating room days via Novari, frequently speaking with and coordinating with the operating room at BWH to do so and ensure that all is correct
- On a rotation with the other MOA, you will order supplies from our vendors, and work with the doctors to ensure our clinic is well-stocked
- Communicate with the Maternal-Infant-Child unit (MIC) at BWH as needed for bookings for C-sections and sending over needed and requested reports for our pregnant patients
Skills:
- Proficient in using office software applications and strong computer skills in general, with any EMR experience in particular highly valued, and especially Accuro and Novari familiarity would be a strong asset for an applicant though not absolutely required
- Strong organizational skills and attention to detail for effective file management
- Ability to prioritize tasks to optimize functioning of the office
- Excellent phone etiquette and kind and clear communication skills to interact with patients and staff
- Ability to handle confidential information with discretion and maintain patient privacy, and please note that you will receive a mandatory privacy and confidentiality training with your onboarding
- Ability to problem solve logistical issues and communicate effectively with other offices, teams, and environments
- Comfort working in a fast-paced, busy work environment
- It is absolutely paramount that you be a team player and be able to work well as a team with the doctors and other employee(s) to help the best possible care be delivered to our patients
We are excited about this opportunity to recruit another full-time in person medical office administrator who will hopefully be an excellent fit for our busy practice in OBGYN. We are looking for someone who is hard-working and motivated enough to work without direct supervision from the physicians on days we are in the operating room, with strong technological and computer skills, and who can be consistently positive and professional to continue to cultivate a safe and rewarding working environment among our existing team.
