Position Overview
We are seeking a highly organized and detail-oriented Finance Administrator to join our administrative team at Generation Fertility Clinic in Vaughan. The primary focus of this role will be managing MOH OHIP billing submissions, including but not limited to consultations, sonograms, andrology, and bloodwork.
This position is ideal for someone who is not only strong in day-to-day billing operations, but also eager to take initiative, support related financial/administrative tasks within the department, and grow into expanded responsibilities as they demonstrate capability.
Key Responsibilities
OHIP Billing Management:
- Import patient schedules from the EMR system (eIVF) and filter out unnecessary fields to create refined spreadsheets for upload into the billing platform (MD Billing).
- Ensure all required patient information is complete, including verifying OHIP numbers and patient demographics.
- Track and resolve any missing or incomplete information (e.g., missing health card numbers or incorrect codes).
- Submit billing claims accurately and on time through MD Billing and continuously monitor the status of claims.
- Follow up on claim rejections, investigate reasons for rejection, and communicate with the responsible MOA for each physician to resolve issues promptly.
- Manage rejected claims and resubmit with corrected information to minimize delays and revenue loss.
- Conduct regular audits of submission statuses to ensure billing records are up-to-date and accurate.
- Manage billing for non-OHIP patients, ensuring accurate invoicing and payment collection.
As the successful candidate becomes more familiar with our workflows, there will be opportunities to support related financial processes and contribute to improving billing operations more broadly.
Compliance and Reporting:
- Stay up to date on OHIP billing codes, guidelines, and compliance requirements specific to fertility treatments.
- Generate monthly billing reports and revenue summaries for management review.
- Identify and address recurring issues in billing workflows to optimize efficiency and accuracy, proactively suggesting improvements where appropriate.
Collaboration:
- Liaise with MOAs, physicians, and other administrative staff to address billing-related questions and discrepancies.
- Communicate with patients as needed to clarify billing or payment-related inquiries.
- Work closely with the broader administrative and finance team, with the potential to assist on cross-functional tasks and projects that support the department’s overall objectives.
Technical Skills and Tools:
- Strong proficiency in Microsoft Excel, including advanced skills for data filtering, pivot tables, and formatting.
- Familiarity with EMR systems (eIVF preferred) and billing platforms (MD Billing preferred).
- Excellent organizational and time-management skills to handle multiple deadlines and follow-ups effectively.
Qualifications and Experience:
- Minimum of 2 years of experience in a healthcare billing role, preferably in a fertility clinic or similar setting.
- Proficiency in Ontario’s MOH OHIP billing processes and guidelines.
- Advanced Excel skills are mandatory.
- Strong attention to detail and a proactive, solution-oriented approach.
- Excellent communication skills for collaboration with team members and addressing patient inquiries.
- Comfort working in a role where responsibilities may evolve over time as the department grows and as you demonstrate strengths.
Preferred Qualifications:
- Previous experience working in a fertility clinic.
- Familiarity with common OHIP billing codes related to fertility treatments, such as consultations, sonograms, andrology, and bloodwork.
- Experience with non-OHIP patient billing processes.
