Part-Time Receptionist / Administrative Assistant

Evergreen Wellness Studio is a collaborative healthcare clinic specializing in women’s health, perinatal care, TMJ dysfunction, mental health, physiotherapy, naturopathic care, chiropractic strength training, and massage therapy. We’re a warm, supportive, and mission-driven team committed to creating a calm, welcoming environment for every patient.
We are hiring a kind, organized, and proactive Receptionist/Administrative Assistant to support our front desk 2–3 days per week (9am–5pm). This position is essential to keeping our clinic running smoothly and delivering an exceptional patient experience.
Position Details
- Hourly Rate: $22/hour
- Schedule: 2–3 weekdays per week, 9:00am–5:00pm
- Start Date: As soon as possible
- Long-term position with an opportunity to grow with our team
- Must be able to reliably work set weekdays with flexibility to occasionally cover other shifts
Responsibilities
- Greet patients warmly and create a welcoming front-desk experience
- Manage the clinic schedule: booking, rescheduling, and confirming appointments
- Process payments and issue receipts
- Respond to emails, answer phone calls, and support general inquiries
- Assist practitioners with day-to-day administrative needs
- Maintain the cleanliness and organization of the reception area and clinic (including laundry and restocking)
- Handle data entry, filing, and other basic office tasks
- Support simple marketing/admin tasks (e.g., newsletters, mailouts) as needed
Required
- Previous administrative and/or customer service experience
- Strong organizational skills and the ability to multitask
- Professional, punctual, reliable, and calm under pressure
- Excellent communication skills (in person, by phone, and by email)
- Kind, compassionate, and aligned with Evergreen’s values
- Able to take initiative and work independently when needed
Assets
- Experience with Jane App
- Experience with direct billing
- Medical or clinical administrative experience
- Comfortable with Microsoft Office, Excel, Mailchimp, and general computer skills
