Job Summary
We are seeking a dedicated and organized Front Office Secretary to join our OBGYN practice, working evenings and weekends. The ideal candidate will provide exceptional patient service, manage administrative tasks efficiently, and support the clinical team with accurate documentation and scheduling. This role requires strong communication skills, familiarity with medical office systems, and the ability to handle sensitive health information in compliance with HIPAA regulations. Experience in medical billing, coding, and electronic health records (EHR) systems is highly desirable to ensure smooth clinic operations and excellent patient care.
Responsibilities
- Greet patients warmly and professionally at the front desk, providing outstanding customer service.
- Schedule appointments accurately using EMR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks.
- Verify insurance coverage and perform insurance verification processes efficiently.
- Collect payments and process medical collections in accordance with clinic policies.
- Manage multi-line phone systems, answer patient inquiries, and direct calls appropriately.
- Maintain accurate medical records and ensure proper documentation review for each patient visit.
- Assist with check-in and check-out procedures, including intake forms and demographic updates.
- Ensure compliance with HIPAA regulations regarding patient confidentiality and data security.
- Perform clerical duties including filing, data entry (10 key typing), and maintaining organized medical records.
- Support office management activities related to health information management and medical office operations.
Qualifications
- Proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks.
- Knowledge of medical coding (ICD-9/10), CPT coding, insurance verification, and billing procedures.
- Strong understanding of medical terminology relevant to OB-GYN practices.
- Excellent computer skills including Microsoft Office applications and practice management software like Eaglesoft or Dentrix.
- Exceptional phone etiquette with experience managing multi-line phone systems.
- Ability to handle sensitive patient information in compliance with HIPAA standards.
- Bilingual abilities are a plus but not required.
- Strong organizational skills with attention to detail in documentation review and appointment scheduling.
