The Foundation for Reproductive Medicine (FRM) a not-for-profit organization dedicated to advancing reproductive science and supporting families through original research and continuing medical education is seeking a Conference & Event Coordinator to support the planning and execution of our prestigious FRM Conference (FRMC)this December.
About FRMC:
The FRM Conference (FRMC) is an annual 3-day CE & CME accredited event that brings together world leaders in reproductive endocrinology, infertility, and laboratory medicine. The program includes lectures, roundtables, and Q&A sessions, featuring groundbreaking fertility and reproductive research.
Last year, FRMC hosted over 170 attendees from 30+ countries, including REIs, Laboratory Directors, and fertility specialists.
Role OverviewThe Conference & Event Coordinator will assist in organizing, managing, and executing all logistical, operational, and administrative aspects of the FRMC. This individual will work closely with the FRM team, vendors, sponsors, and medical professionals to ensure a seamless and successful event experience.
Key Responsibilities- Coordinate conference logistics including registration, venue setup, audiovisual needs, catering, and on-site support.
- Liaise with vendors, sponsors, speakers, and attendees to ensure timely communication and satisfaction.
- Support marketing, communications, and promotional efforts across platforms.
- Manage attendee registration, materials preparation, and onsite coordination.
- Track budgets, process invoices, and assist in managing contracts and payments.
- Ensure compliance with CME/CE standards and medical event requirements.
- Provide hands-on assistance during all event days (December 5–7) and pre-event setup.

- Technical Proficiency:Â Comfortable using event management software, Microsoft Office Suite, and online event tools or CRMs.
- Medical/Scientific Event Experience (Preferred):Â Understanding of CME compliance and healthcare-related event coordination is highly advantageous.
- Team-Oriented:Â Collaborative, dependable, and proactive in supporting others to achieve a shared goal.
- Composed Under Pressure:Â Able to thrive in fast-paced, high-stakes environments with professionalism and a positive attitude.
Schedule & Compensation- Salary: $70,000 – $75,000 annually, commensurate with experience
- Schedule:Â Full-time, 40 hours per week, M-F.
- Location: This is an on-site position based in our New York office
