Job Summary:
The Surgery Scheduler schedules all surgical procedures and assures that all of the appropriate clinical and insurance coding information is collected before scheduling procedures. The scheduler verifies insurance coverage and works closely with hospital and ambulatory surgery centers to ensure a smooth process from order to surgery day. This position works diligently to ensure communication tools and schedules are updated to minimize error or inefficiencies.
Essential Responsibilities:
· Coordinates the scheduling of surgical procedures with multiple hospitals and surgery centers, scheduling and obtaining pre-operative testing, verifying and communicating surgery orders, and collecting necessary documentation/approval for procedure payment
· Works closely with patients, physicians, and surgery location to provide accurate, timely, and responsive paperwork.
· Communicates surgical instructions to patients which may include: preoperative exams, bloodwork, arrival time, dietary requirements, and post-operative follow-up appointments
· Reviews payer Medical Policy requirements to necessary pre-operative completions
· Processes and/or tracks prior authorizations resulting in receipt of surgical approvals or denials; work on denial appeals as appropriate
· Schedule post-operative visit based on payer guidelines and physician preference
· Conduct courteous and professional communication with the institutional schedulers, staff, and patients
· Arrange for appropriate surgical assistant(s) and maintain up to date schedule of cases.
· Complete FMLA/LOA paperwork for patients
· Ensure the schedule posted in Epic, Athena, and Qgenda accurately reflects the scheduled cases
· Ensures appropriate coordination with other hospital departments when special surgical needs occur
· Maintains relationships and communication with surgical representatives
· Monitors surgeon clinic schedules for conflicts & blocks outside schedules accordingly
· Identifies scheduling barriers and implements solutions to improve scheduling results
· Adhere to policies regarding safety, confidentiality and HIPPA guidelines.
Knowledge, Skills, and Ability Requirements:
· Knowledge of medical terminology and familiarity with medical diagnostic procedures, and health care billing and authorization is desired
· Knowledge of HIPAA/Confidentiality
· Must have excellent organizational skills and be detail oriented
· Must be highly skilled in verbal communication, problem solving, prioritization and organization
· Ability to collaborate across departments and build effective relationships with internal and external customers to achieve goals.
· Possession of strong problem solving skills and sound judgment.
Work and Education Qualifications:
· Education:
High School diploma or equivalent is required
· Experience:
Previous experience with obstetrics and gynecology is highly recommended
1 year experience with complex scheduling in a health care setting is required
Previous experience in surgery scheduling is highly preferred.
Experience in customer service is desired
