Position Summary
The Clinical Support Assistant plays a vital role in supporting the operations of the clinic and healthcare providers, with a focus on women's health physicians and other specialties. This position serves as the first point of contact for patients and assists in various clinical and administrative tasks.
What You Will Be Doing
- Serve as the first point of contact for patients, demonstrating a compassionate and empathetic approach.
- Assist physicians in delivering exceptional patient care by providing comprehensive support in both clinical and administrative tasks.
- Collaborate with healthcare providers, including women's health physicians, to ensure efficient scheduling and coordination of appointments and procedures.
- Manage and triage incoming communication channels, such as emails and phone calls, from patients and other healthcare professionals, promptly responding to inquiries and addressing concerns.
- Maintain accurate and detailed records of patient interactions, medical history, and treatment plans within the Electronic Medical Records (EMR) system.
- Conduct initial assessments and triage patients based on established protocols and guidelines, identifying urgent cases and prioritizing accordingly.
- Ensure the maintenance and organization of medical equipment and supplies specific to women's health, adhering to sterilization protocols and infection control measures.
- Provide patient education and support, including explaining procedures, discussing test results, and addressing concerns related to women's health.
- Coordinate and facilitate referrals to healthcare providers, ensuring timely and seamless transitions of care for patients.
- Assist physicians and patients with requisitions and forms for insurance, medical forms, Ministry of Health requirements, and other necessary documentation.
- Verify insurance coverage and assist patients with insurance claims and billing processes.
- Collaborate with the Operations and clinic staff team to support the smooth operation of the clinic, including managing patient flow, scheduling appointments, and maintaining a clean and welcoming environment.
- Maintain strict confidentiality and adhere to ethical and legal standards in handling sensitive patient information.
- Electronically file faxes and maintain organized and secure electronic records.
- Stay updated on current trends and best practices in women's health, participating in professional development activities to enhance knowledge and skills.
- Maintain a professional approach when interacting with colleagues and healthcare professionals to establish good working relations.
- Other duties as assigned.
You Have
- A working knowledge of Electronic Medical Records is an asset; experience with Accuro EMR is preferred.
- Excellent interpersonal and communication skills, with the ability to establish rapport and effectively interact with patients, physicians, and healthcare professionals.
- Strong organizational and multitasking abilities, with the capacity to prioritize tasks and manage time effectively in a fast-paced environment.
- Empathetic and compassionate approach when dealing with patients, particularly in sensitive and confidential matters related to women's health.
- Knowledge of relevant medical regulations, privacy laws (such as PHIPA), and infection control guidelines specific to women's health.
- Previous experience working in a medical set-up is preferred, experience working with a specialist is an asset.
- Commitment to maintaining professional standards and adhering to ethical principles in all aspects of work.
- Ability to work within a team environment and independently.
- Flexibility with regards to shift coverage and collegial support.
- Availability to work days, evenings, and weekends.
