Job Description Summary
The Scheduling Coordinator will be responsible for creating and managing provider schedules based on patient load and scheduling priorities, contributing to the seamless functioning of the clinic.
Pay Range

Essential Functions And Responsibilities
- Understanding of outpatient clinic operations and the dynamics of provider scheduling based on patient load.
- Proficiency in using scheduling software and electronic medical records (EMR) systems.
- Exceptional organizational skills and attention to detail.
- Excellent communication and interpersonal skills to collaborate effectively with physicians and cross-functional teams.
- Ability to adapt to changes in a fast-paced healthcare environment.
Provider Schedule Creation
- Collaborate closely with providers to understand their availability, preferences, and any specific scheduling considerations.
- Develop scheduling templates that optimize provider time, considering patient load, appointment types, and clinic priorities.
Patient Load Management
- Monitor patient load trends and adjust physician schedules to meet demand while ensuring optimal patient care.
- Coordinate with leadership and other relevant departments to align provider schedules with patient needs.
Schedule Adjustments
- Assist with dynamic scheduling by regularly review and adjust provider schedules to accommodate urgent cases, unexpected changes, or emerging patient load patterns.
- Collaborate with provider and other stakeholders to manage schedule conflicts and ensure smooth clinic operations.
Data Analysis And Reporting
- Utilize scheduling software and analytics tools to analyze patient load data and identify areas for improvement.
- Generate reports on scheduling metrics, providing insights for optimizing clinic efficiency and patient satisfaction.
Communication And Collaboration
- Maintain open communication channels with operational leadership, providers, nursing staff, and administrative teams to facilitate effective scheduling coordination.
- Collaborate with other departments to ensure alignment between provider schedules and overall clinic goals.
Qualifications
Education:
- High school diploma or General Educational Development (GED) certificate required.
- Bachelor's degree in Healthcare Administration, Business, or a related field is preferred.
Experience
- 2 years within a hospital or clinic environment, an insurance company, a managed care organization, or another financial service setting, performing financial counseling, financial clearance and/or customer service activities
- Proven experience in scheduling coordination within a healthcare setting, with a focus on physician schedules.
- Knowledge of HIPAA regulations and commitment to maintaining patient confidentiality.
