Position Overview
The Surgery Coordinator manages end-to-end surgery scheduling and ensures all necessary documentation, authorizations, and communications are completed accurately and on time. This role serves as the key liaison between clinics, surgery facilities, patients, and internal departments to ensure smooth, coordinated care.
Key Responsibilities:
- Schedule surgeries and procedures with external surgery facilities across multiple clinic locations.
- Communicate directly with clinic representatives and providers to coordinate surgery details.
- Contact surgical facilities to schedule cases and confirm availability.
- Submit all required documents (Surgery Order Sheet, IVF Authorization, Demographics Form, Proposed Surgery Orders & Consent Form, Post-Op Instructions, Latest Progress Notes, and Insurance Cards to the surgery centers.
- Ensure all information is properly entered and updated in the EHR (AdvancedMD).
- Collaborate with Preauthorization Specialists to ensure surgery approvals are in place.
- Contact insurance companies if clarification is needed on surgery requirements.
- Track surgery progress and keep patients and clinic staff informed of updates and status changes.
- Report daily production and scheduling activity to leadership.
- Perform other duties as assigned by the department leader.
Qualifications:
- 1+ years of medical scheduling or surgery coordination experience preferred.
- Familiarity with pre-operative workflows and hospital/surgery center requirements.
- Strong organizational and multitasking skills.
- Excellent communication, organization, attention to detail, and follow-up skills.
- Proficient in managing and updating electronic health records (AdvancedMD preferred).
- Able to collaborate with remote and cross-functional teams.
