EHR and Clinical Trainer | Affiliate Wide (Rochester, Buffalo, Syracuse)

In support of PPCWNY’s mission, the Electronic Health Record (EHR) and Clinical Trainer effectively coordinates and implements PPCWNY training programs for clinical support staff to meet the goals and needs of Health Services. Provides and promotes excellent, efficient service to all clients and patients by training all levels of clinical staff in accurate and efficient Electronic Health Record (EHR) usage and evidence-based clinical skills to maintain a high functioning, healthy organization. Ensure all clinical preceptors maintain clinical and EHR competencies to support new staff.
Essential Functions
- In collaboration with the Health Services and Compliance, Quality and Risk Management (CQRM) departments and under the direction of the DHSII, organizes, coordinates and provides training to all clinic staff including didactic training, onsite training support and evaluation of knowledge and skills through precepting
- Provides Epic super user and end user training to affiliate staff during Epic implementation and provides continued support to new staff after go-live
- Regularly spends time at all clinical sites to precept support staff and to provide skills observations; works to ensure that policies & procedures relevant to health center staff have been understood, implemented and optimized; identifies and follows up on inconsistencies with medical protocol
- Continually evaluates and improves new clinical staff training program
- Acquires and maintains an intimate knowledge of clinical operations, CQRM issues in the health centers, Planned Parenthood Medical Standards & Guidelines (MS&Gs), PPCWNY’s EHR/PM system and other PPCWNY operational policies; stays current on changes in clinic protocol and updates staff as needed
- Works with individual managers and employees to identify learning requirements and deficits; designs individual training plans and provides coaching to improve performance
- Maintains knowledge of upgrades and enhancements to the EHR system and proactively assists with updating staff as needed; communicates changes in EHR, best practices, and tips and tricks to clinical staff
- Works with subject matter experts to add affiliate-specific information to the Planned Parenthood foundation training materials provided by BetterHealth
- Delivers standardized, instructor-led, scripted training curriculum to affiliate Epic super users and end users during go-live and after implementation
- Administers EHR proficiency assessments
- Credentials new EHR and Clinical Trainers, as needed
- Prepares relevant training materials and produces high quality visual and print materials (manuals and teaching aids) for training, under the supervision of the DHSII
- Ensures all health services training sessions are up to date and maintained
- Acts as liaison between front line clinical staff and other parties, including Clinical Leadership Team and Revenue Cycle department, as needed to promote clinical quality, productivity and efficiency
- Participates in various workgroups and meetings as needed, including Clinical EHR workgroups, all BetterHealth training sessions and meetings, as required
- Assists in developing and presenting information and material to clinical staff during monthly support staff and clinician meetings
- Responds to Epic related usage issues and communicates them to IT, as needed
Other Accountability Activities
- May work as a health center Patient Care Assistant (PCA) to precept new staff and to cover staff shortages in abortion services and family planning, across the affiliate, as needed
- Attends as needed: Health Center Manager and health center site meetings
- Travels to health centers throughout Central and Western New York
- Works flexible hours, including some evenings and Saturdays as needed to provide better customer service
- Performs other duties as assigned
Requirements
Qualifications
Applicants must possess the following qualifications (or equivalent combination of education and experience):
Education
- GED/High School Diploma required; associate's degree in medical assisting preferred
Experience
- At least 1 year of experience in healthcare training, precepting new staff or equivalent relevant experience, experience in customer service desirable
- 3 years of experience providing direct patient care
- 1 year of experience in reproductive health care, abortion services or family planning preferred
- Prior Planned Parenthood experience with clinical workflows and standard operating procedures (SOPs) preferred
Certificates, Licenses
- Current CPR certification
- • Will be required to attend BetterHealth Epic credentialing/train-the-trainer program for Clinical Support and Abortion Tracks
Knowledge, Skills, & Abilities
- Must have experience with EHR (NextGen and/or Epic Preferred)
- Demonstrate comfort using technology required to perform job duties
- Proficiency with Microsoft Office Suite, including Teams and videoconferencing software
- Ability to adapt to change and commitment to process improvement
- Ability to demonstrate patience, creativity and engagement activities when training
- Seeks, logically examines, and interprets information from different sources to determine a problem’s cause and develop a course of action to resolve the problem and to prevent its recurrence
- Must have excellent written and verbal communication with ability to convey information clearly and concisely
- Possess excellent time management and organizational skills
- Must have the ability to develop and maintain good working relationships with clinicians, health center managers and other clinical staff and to act as a role model for the highest level of clinical practice
- Must be able to work a flexible schedule, and travel to multiple sites, each week
- Must have reliable transportation and/or a valid driver’s license not in jeopardy of being revoked

Work Schedule
This is a full-time (40 hours per week) position; regular schedule will be Monday – Friday with occasional evenings and weekends.

At PPCWNY, we are committed to equitable compensation practices and transparency. In alignment with these efforts, the pay for this position ranges from $26.00 to $30.10/hour. Actual compensation will be determined by experience and other factors permitted by law.
