GENERAL JOB DESCRIPTION
The IVF Financial Counselor serves as a key resource for patients navigating the financial aspects of fertility treatment. This role provides clear, compassionate, and accurate financial guidance to patients pursuing IVF services, ensuring they fully understand their cost of care, insurance coverage, and available payment options. The IVF Financial Counselor works collaboratively with physicians, nurses, the business office, and the insurance team to support an exceptional patient experience from the initial consultation through the completion of treatment.
MAJOR DUTIES AND RESPONSIBILITES
· Develop and present individualized financial estimates for IVF treatment plans in alignment with physician guidelines.
· Conduct financial counseling sessions with patients, explaining cost structures, insurance benefits, and payment options in a clear and empathetic manner.
· Maintain accurate and timely posting of IVF charges, payments, and account adjustments.
· Collect and reconcile prepayments in accordance with clinic policies.
· Partner with the Authorization Department to ensure timely processing of insurance approvals for upcoming cycles.
· Attend weekly IVF meetings to stay informed of patient treatment schedules and changes.
· Maintain organized financial records and reporting, ensuring compliance with internal policies and external regulations.
· Notarize patient consents as required.
· Provide backup support to the Business Office and perform additional duties as assigned.
QUALIFICATIONS FOR THE JOB
· High School Diploma required, Associate’s or Bachelor’s degree in business, finance, healthcare administration, or related field preferred.
· Previous experience in healthcare billing, financial counseling, or insurance verification strongly preferred.
· Familiarity with fertility or specialty healthcare settings is a plus.
· Comfortable with MS Office Suite and general office equipment (fax, copier, computer, etc.).
KEY COMPETENCIES
· Knowledge of HIPAA and patient confidentiality standards.
· Strong understanding of medical terminology, insurance processes, and billing practices.
· Exceptional communication skills with the ability to explain complex information clearly and compassionately.
· High attention to detail with strong organizational and problem-solving abilities.
· Proficiency in Microsoft Office Suite; experience with EMR or medical billing software preferred.
· Ability to work independently while thriving in a collaborative, patient-centered environment.
· Must maintain reliable attendance and punctuality to ensure timely completion of responsibilities.
· Professional and neat appearance.
Work Environment
· Office-based position with standard business hours, requiring extended periods of computer use.
· Requires professional, courteous interaction with patients experiencing sensitive and emotional circumstances.
Job Type: Full-time
Pay: $22.00 - $26.00 per hour
Expected hours: 40 per week
