We are a mission-driven maternal health organization supporting a growing network of doulas, maternity care providers, and families. Our team combines healthcare administration, compassionate care, and community advocacy to improve birth outcomes. We are expanding and seeking an Executive Assistant with strong organizational skills, project oriented, some general knowledge of medical billing and credentialing processes, and a passion for pregnancy, birth, and postpartum care. An ideal candidate knows how to interact efficiently with diverse populations (clients, providers and the leadership team).
Job Summary
The Admin Assistant will work closely with our founder and small leadership team to support administrative operations, training programs, payroll processing, and support contract and credentialing tasks. Most tasks can be virtual but some on the ground support may be needed for classes (In SE Portland). This role requires excellent communication skills, a proactive mindset, and the ability to juggle multiple priorities in a fast-paced virtual environment.
Key Responsibilities
- Process payroll for contractors and employees accurately and on schedule.
- Manage email correspondence, respond to client and provider inquiries, and coordinate follow-ups.
- Schedule and coordinate appointments, classes, and events.
- Assist with doula credentialing (THW registry, NPI, provider onboarding).
- Prepare, track, and manage contracts for doulas, trainers, and partner organizations.
- Support training program operations (registration, reminders, post-class follow-up).
- Provide light support for medical billing related to maternity and doula care services.
- Serve as a knowledgeable first point of contact for pregnancy, birth, postpartum, and doula care questions.
Qualifications
- 2+ years of administrative assistant, executive assistant, or healthcare office experience.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar) or similar tools.
- Proficiency in Go High Level a plus (job training included)
- Proactively identify needs and take ownership of tasks without waiting for instructions.
- Familiarity with pregnancy, birth, postpartum care, and doula work preferred.
- Experience in medical billing, healthcare credentialing, or contract administration is a plus.
- Self-motivated, reliable, and able to work independently while collaborating with a remote team.
Schedule & Compensation
- Pay: $26/hour, paid bi-weekly.
