We are currently seeking a Leave of Absence Administrator. The Leave of Absence (LOA) Administrator serves as the subject matter expert for all leave-related programs across the organization, ensuring compliance with federal, state, and local regulations. This role is responsible for the effective administration of employee leaves of absence including FMLA, ADA, military, personal, and company-sponsored leaves, and works closely with HR partners, legal, payroll, and third-party administrators to deliver consistent and supportive employee experience. This is a fully remote position.
Responsibilities

Administer and manage all leave of absence programs including FMLA, ADA, short- and long-term disability, military, personal, and company-sponsored leaves.

Serve as a primary point of contact for employees and managers regarding leave requests, eligibility, status updates, and return-to-work plans.

Ensure all leaves are administered in compliance with federal and state regulations (e.g., FMLA, ADA, USERRA, PDA), as well as company policies.

Prepare and distribute required notices and documentation in a timely manner in accordance with regulatory timelines

Support the interactive process for reasonable accommodations in collaboration with HR Business Partners and legal counsel, consistent with ADA and other applicable laws.

Coordinate with third-party administrators (TPAs), insurance carriers, and internal departments such as payroll and benefits to ensure accurate leave processing, pay continuity, and benefit premium tracking.

Maintain up-to-date records and documentation for all leave cases, ensuring confidentiality and compliance with HIPAA and internal privacy standards.

Enter and update paid leave and PTO data in the HRIS system (UKG) to ensure accurate timekeeping and payroll integration.

Track and analyze leave data to identify trends, monitor key performance indicators (e.g., leave utilization, lost time, return-to-work rates), and develop process improvements.

Partner with HR Business Partners and managers to facilitate smooth return-to-work transitions, including review of accommodation requests, work restrictions, and modified duty arrangements.

Respond to audits and compliance requests related to leave programs.

Provide guidance and training to HR staff and management regarding leave policies, processes, and compliance.

Perform other duties and special projects as assigned.
Qualifications

Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent work experience.

Minimum 2 years of experience administering leave programs in a multi-state environment.

Strong understanding of federal and state employment laws, including FMLA, ADA, USERRA, and paid family and medical leave programs.

Experience working with third-party administrators, disability carriers, and HRIS systems (UKG preferred).

Proficient in Microsoft Excel; ability to analyze data and generate reports.

Exceptional organizational skills, attention to detail, and ability to manage sensitive information with discretion.

Strong written and verbal communication skills.

Ability to work independently in a remote environment, manage multiple priorities, and meet deadlines.
