JOB DESCRIPTION
Summary:
The Scheduling Coordinator is responsible for effectively managing provider schedules, including handling inbound and outbound calls, to ensure that clinic schedules are full, productive, and efficient, while also providing patients with the best possible experience.
Essential Functions:-
Assist patients with scheduling, rescheduling and confirmation of appointments.

Appropriately manage multiple incoming calls.

Daily review of providers’ upcoming schedules to ensure maximum efficiency and optimization.

Assist with administrative tasks.
- Responsible for maintaining patient records and information confidentiality and in accordance with policies and laws.

Respond to patient inquiries, complaints and concerns.

Ensure exceptional patient experience throughout phone call.
Primary Duties:-
Handle a high volume of calls with professionalism and empathy, addressing patient inquires, providing information on services, and managing appointment requests

Register new patients

Schedule, reschedule, and confirm patient appointments, ensuring accuracy in coordinating with providers’ availability and office policies.

Respond to general questions regarding office operations, insurance, billing and the ability to recognize urgent requests to transfer to the triage department.

Maintain patient records by accurately updating patient information in the EHR system.

Make follow-up calls to remind patients of upcoming appointments and to gather necessary pre-appointment information.
- Assist with other clerical tasks as needed.
Knowledge, Skills, and Abilities:-
Strong knowledge of medical terminology.

Excellent communication and interpersonal skills.

Ability to handle confidential and sensitive information.

Ability to provide communication and patient-centered care, ensuring that each patient feels supported.

Bilingual – English/Spanish helpful.
Work Environment-
May require occasional travel to other locations or overtime.

Work is performed in a professional healthcare setting.

Possible exposure to communicable diseases, blood-borne pathogens, and toxic substances in the work environment.
Physical Demands-
Ability to lift and move medical equipment and supplies up to 20 pounds

Manual ability for handling instruments and equipment.
Education-
Education: High School Diploma or GED required.

Certifications: (Required certifications and/or licenses.)

Preferred education if needed.
Experience-
Experience: a minimum of 2 years of experience in a healthcare setting or call center specific to healthcare.
