POMA Fertility, a Pacific Northwest leader in IVF and fertility care, has an exciting full-time opportunity for a Laboratory Administrative Assistant. This opening is for a full-time, Monday-Friday, 40 hours/week on-site position. Hours are typically 8am-4:30pm. Clinic is located in Kirkland, WA on the EvergreenHealth campus with easy access via I-405.
Position Summary
As a Laboratory Administrative Assistant, you will collaborate with the lab and other internal teams to ensure smooth communication, record keeping, compliance, and operations. You will also work directly with external parties and patients. This is dynamic role and great for someone who likes a variety of tasks and collaborating with various stakeholders.
Responsibilities
- Primary point of contact for lab communications via calls, email, patient portal, etc. Triage and follow up as needed.
- Order and manage supplies, approve invoices, communicate with vendors
- Manage equipment inventory & maintenance
- Coordinate inbound/outbound shipments of biological material
- Schedule patient lab appointments and/or procedures and manage team calendars, coordinating schedules effectively
- Provide administrative support; including filing, faxing, organizing, and maintaining laboratory records.
- Ensure compliance of processes and policies, consents, checklists, etc.
- Perform data entry, reporting, and analysis across various platforms with precision and accuracy
- Assist with collection and analysis of metrics, KPI’s, and internal/external reporting requirements
- Maintain cleanliness and organization of the laboratory workspace to adhere to safety standards.
- Collaborate with team members to ensure smooth laboratory operations and assist in various projects as required.
- Other duties and projects as assigned by management
Qualifications
- Proven experience in an administrative role; experience within healthcare/fertility is a plus.
- Excellent organizational skills with the ability to manage multiple tasks efficiently.
- Ability to type accurately at a reasonable speed is essential for data entry tasks.
- Strong verbal and written communication skills.
- A keen attention to detail and commitment to maintaining high-quality standards in all work performed.
- A team player who can handle multiple projects simultaneously in a fast-paced environment.
