Job Description
We currently have a great opportunity for an
experienced Executive Assistant to join our team, supporting two executives on a
permanent, full time basis. Your scope of duties will include;
- Diary Management - creating and scheduling events, coordinating with stakeholders and proactively managing any changes and updates.
- Planning and coordinating meetings including room bookings, catering and logistics
- Supporting the executives with doctor engagement administration - scheduling meetings, actioning requests, liaising with PA support and general administrative support
- Provide high-level personal support, handling confidential matters with discretion, supporting with ad hoc tasks and administration support as required.
- Booking domestic and international travel including flights, accommodation and itinerary preparation including external meetings.
- Relationship Management: Building and maintaining positive relationships with key stakeholders, both internally and externally.
- Supporting with special projects and ad hoc task
Qualifications
This role is perfect for an
experienced Executive or Personal Assistant who has previously worked providing support at an executive level. Diary management, coordination and scheduling will be a strength, you will be someone who is proactive in resolving issues, meticulous with detail and good at thinking one step ahead around what the Execs may need next.
You will see from this scope of duties that this role is varied, including broader team support and facilities coordination. The successful candidate will see this as an opportunity to expand on your experience, work flexibly and gain broader exposure across the organisation with a high level of autonomy.
This is primarily an office based role (working with a great team in the heart of the CBD), so this must be something you can manage and enjoy. We offer a flexible workplace in regards to hours and some opportunity for hybrid - however this role really needs a strong presence in the office where all the action is.
