The Surgical Coordinator works under the direct supervision of the Clinical Supervisor and indirectly reports to the physician(s) he/she provides with support. As a member of the IVF Florida team, the Surgical Coordinator will work in cooperation with other clinic staff to ensure safe and effective patient care, in compliance with IVF Florida standards and protocols. The Surgical Coordinator performs administrative duties relevant to surgical operations. This position includes surgery scheduling, appointment reminders, keeping patient records, entering post-surgical data and scheduling surgical equipment. Surgical Coordinator will manage incoming and outgoing phone calls and emails. They ensure that all pre-surgery paperwork is completed in time for the patient’s appointment and they work closely with multiple hospitals and surgery centers. The Surgical Coordinator helps ensure adequate preparation for surgery by ensuring that necessary equipment is scheduled for surgery. Surgical Coordinators need the ability to schedule emergency and add-on surgeries. This requires an understanding of scheduling procedures for surgeries, such as how long a surgery will take and how much time to allot for set-up and turnaround, and to administer surgery schedules to appropriate medical staff. Surgical Coordinator must have a solid understanding of procedures frequently performed within a fertility practice, strong organizational skills, strict attention to detail and follow-through, and be able to prioritize responsibilities.
We have an immediate opening for a full time Surgical Coordinator to join our team in our Margate, FL office. The schedule is M-F 7:30am-4pm.
How You'll Contribute: We always do whatever it takes, even if it isn't specifically our "job." In general, the Surgical Coordinator is responsible for:
Schedules all surgical procedures for the physicians, coordinating with the participating hospitals and their schedules/blocked time.
Perform investigation of benefits for all surgical procedures.
Assist in obtaining the necessary referrals for HMO/POS patients.
Obtain pre-certification or authorization for all surgical procedures.
Verifies all surgery benefits · Estimates and collects fees for patient responsibility
Enter referral information into the computer system
Demonstrate a thorough knowledge and understanding of billing and collection policies and procedures, explaining account payment and settlement processes prior to the surgical procedure.
Recognizes the importance of managed care to the practice and insures that lines of communication are kept open with each contracted carrier.
Re-verifies patient demographics and insurance
Maintain complete and organized work papers in accordance with established procedures.
Responds to correspondence, phone calls, patients or third party requests in a timely fashion.
Ability to embrace change and promote team work and program growth.
Documents all contact with the patient in the patient’s medical record. This includes the information given to the patient at the time of contact.
Notifies appropriate personnel in the event of a problem or conflict arising with the patient, a physician, or other required personnel.
Abides by IVF Florida and US Fertility operational and personnel policies and procedures at all times.
Contributes to team effort by maintaining an excellent rapport and working relationship with all members of the IVF Florida team.
Performs other related duties as assigned.

Minimum of 2 years experience in a medical position, knowledge of infertility strongly preferred.
