With 100+ locations and over 400 OB/GYNs and specialists across the country, Women’s Care provides comprehensive patient care in obstetrics, gynecology, gynecologic oncology, urogynecology, gynecologic pathology, breast surgery, genetic counseling, maternal fetal medicine, laboratory services, and fertility.
The Office Coordinator provides professional clerical support to clinic administration following established standards and practices. They function as an active member of the clinic’s clerical support staff including greeting and directing of patient flow through the facility.
- Answer incoming telephone calls and schedules/reschedules/cancels appointments.

Work closely with the Practice Manager and other clinic staff.

Help supervise the day-to-day functions of patient and office flow.

Order and manage uniform orders for clinical and clerical staff for all units within facility.

Complete monthly staff meeting minutes.

Complete monthly provider meeting minutes.

Create monthly newsletter (including staff birthdays, fun facts and spirit days).

Responsible for receiving all deliverables and working with facilities coordinator to ensure timely delivery.

Ordering office supplies for building including maintenance of breakroom and training room inventory.

Order and manage office equipment when needed, including copy machine maintenance.

Schedule IT, phone, and other vendors when needed.

Responsible for maintaining incoming and outgoing mail and package shipments.

Open and distribute mail. Scan all invoices and rename them for payment processing and email to the Practice Manager.

Develop positive working relationships with physicians, staff, and patients.

Respond to any patient complaints or issues that may arise.

Attend monthly manager, provider and staff meetings.

Keep all locations stocked with informational brochures and pamphlets.

Be able to step in and help in all clerical areas at a moment’s notice.

Manage provider call and office schedules as requested by the Practice Manager.

Maintain spreadsheet of providers’ call and vacation time.

Demonstrate and embodies the Women’s Care mission and core values.

Compliance with all HIPAA rules, regulations, and guidelines.

Other duties as assigned.
Qualifications:
- High school diploma or equivalent.

Minimum four (4) years’ clerical experience in a medical office environment.

Ability to multi-task in a stressful deadline-oriented environment.

Ability to use a computer and enter data in electronic medical record system, preferably eCW.

Must be dependable, reliable, and punctual.
