Position Summary:
We are seeking a compassionate and detail-oriented Patient Finance Coordinator to join our team. The ideal candidate will excel in serving as the key liaison between front desk operations, clinical teams, and finance, ensuring that patients clearly understand the financial aspects of their treatment plans. This role requires the ability to assist patients in navigating financial options, while also supporting accurate and timely billing and collections. Strong attention to detail, discretion, and the ability to work sensitively with patients during emotionally charged times are essential.
Key Accounting Responsibilities:
- Provide accurate cost estimates for fertility treatments and explain financial responsibilities to patients with empathy and clarity.
- Collaborate with physicians, nurses, and other departments to stay informed about patient treatment decisions and timelines.
- Address patient inquiries related to treatment costs, payment plans, insurance, and clinic policies in person, over the phone, and via email.
- Maintain up-to-date patient financial records in accordance with privacy standards and clinic protocols.
- Assist patients in exploring and understanding financial support options, including insurance, grants, or financing programs if applicable.
- Review patient medical records to ensure appropriate billing of procedures, medications, and services.
- Monitor patient accounts for outstanding balances and follow up on payments in a timely and respectful manner.
- Investigate and resolve payment discrepancies, underpayments, and credit balances.
- Generate financial reports and summaries as required by leadership or regulatory needs.
- Contribute to process improvements and ensure compliance with clinic financial procedures and industry standards.
Qualifications:
- Post-secondary education in medical office administration, business, or a related field is preferred
- 1–3 years of experience in a healthcare, medical, or fertility clinic setting.
- Experience in a patient-facing financial role is a strong asset.
- Exceptional interpersonal and communication skills, with the ability to communicate complex financial information clearly and compassionately.
- Strong organizational skills, accuracy, and attention to detail.
- Ability to multitask and work in a fast-paced, emotionally sensitive environment.
- Discretion and professionalism when handling confidential patient and financial information.
- Team-oriented with the ability to work cross-functionally with clinical and administrative teams.
- Strong problem-solving skills and sound judgment.
- Familiarity with fertility-related medical terminology is an asset.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with electronic medical records (EMR); eIVF knowledge is highly preferred.
- Knowledge of OHIP billing and medical financial procedures is an asset.
