Our Beverly Hills location is seeking a full-time Concierge Service Liaison- MA/LVN/RN to join our growing team.
This is an opportunity to work in the innovative and exciting field of infertility care and be a part of an extraordinary and committed staff. This position involves daily independent function and frequent collaboration with members of the multidisciplinary team, providing phlebotomy services to patients.
ESSENTIAL JOB FUNCTION:
1. Adhere to RPMG/FCOC Policies and Procedures.
2. Performs duties and job responsibilities in a fashion which coincides with the service management philosophy of RPMG/FCOC including the demonstration of the basics of service excellence towards patients, visitors, staff, peers, physicians, and other departments within the practice.
3. Same day/Next day - reach out to all new patients/recons any referrals via a phone consult to discuss next steps. Review Physician plan and review extra services available.
o If a Physician tasks/texts; regarding a patient, follow up with that patient immediately during covered hours.
- Any patient that signs up for concierge service the expectation is to manage patient from the beginning to the end of their journey (depending on services patient paid for)
- Expedited Cycle coordination
o Coordinate and expedite patient coordination, ensuring timely and efficient delivery of healthcare services.
o Collaborate with healthcare providers and patients to streamline care processes and minimize delays.
- Provide cycle support for patients during their visits to our center for ultrasound appointments and procedures, ensuring a smooth and comfortable experience.
- Scheduling of concierge patients for any visit needed
- Reserving concierge room for your patients to not overlap of appointment time. 1 concierge patient/couple/family in room at a time.
- Responsible for checklist and ensuring everything is complete patient needs
- Providing calendar and next steps
- Ordering medications
· Offer tailored medication instructions, ensuring patients understand their prescriptions and treatment plans.
· Provide comprehensive overviews of medication usage, potential side effects, and interactions.
- Administration of medications in office:
· Administer medications to local patients in San Diego, ensuring accuracy and adherence to prescribed treatments.
· Monitor patients for any adverse reactions and provide appropriate interventions as necessary.
· Document lot number, dosage, medication and expiration date along with location and how administered in patient EMR chart.
- Assigning and confirming all consents are signed
4. Direct Communication:
- Maintain open lines of communication with patients through patient portal, telephone, WhatsApp for direct, real-time support.
- Availability from 8:00 AM - 8:00 PM, 7 days a week. In office hours 8 hours a day M-F then other hours are on call hours to assist your patient needs.
5. Document all communication in patient EMR chart.
6. Answer patient questions regarding patient cycles and calendar.
7. Assist in infertility/IVF outside monitoring patients each day when applicable. (Follow up on their ultrasounds, lab tests, physician orders, and other related items, next steps)
8. Communicate with patients on the telephone regarding patient medication, treatment plans and test results.
9. Document into EMR all patient plans and interactions with patient and physician.
10. Place patient orders into EMR.
11. Responsible to assure all consents are signed in a timely manner. This includes but not limited to (Covid, Genetic Carrier Screen and Zika consents) if applicable.
12. Responsible to assure that communicable disease testing is complete, accurate and appropriate.
13. Responsible to see that all patient documents are reviewed, accurately placed in the EMR and discussed with physician.
14. Responsible to provide education to the patient and prepare them to undergo procedures, testing related to infertility testing, insemination, in vitro (IVF) fertilization, FET, and egg vitrification, etc.
15. Responsible for ongoing communication and documentation between the physician and the patient.
16. Monitor established outside monitoring pregnancies via ultrasonography and lab tests, through the first 10 weeks of pregnancy and document updates in the patient EMR chart.
17. Provide compassion and emotional support to patients throughout their fertility experience.
18. Has an extensive working knowledge of the requirements for participation in all programs offered by RPMG. Can teach and educate patients on protocols and plans of care. Communicates appropriately with patients and physicians results of blood work and ultrasounds. Provides accurate information regarding prescribed medications and administration of medications. Ensures all physician orders are followed through and completed as per established policy and procedures.
19. Assists in sending orders/obtaining results with outside monitoring patients.
20. Participates/assists in quality improvement projects.
21. Excellent listening and follow-through abilities and a willingness to accept constructive criticism.
22. Can effectively function as a liaison between patients and physicians and clinical staff.
23. Adapts to changes in the work environment; manages competing demands; changes approach or method to best fit the situation; able to deal with frequent change, delays, or unexpected events.
24. Performs other duties, as assigned.
KNOWLEDGE SKILLS AND ABILITIES:
- Possesses interpersonal and communication skills necessary to interface with patients, physicians, and staff from various departments.
- Possesses excellent organizational skills and be able to accurately perform multiple tasks, prioritize, be detail oriented and work with constant interruptions.
- Able to perform basic computer functions such as creating word documents, spreadsheets, and email. Has the ability to learn and master an electronic medical software application as it may pertain to job responsibilities.
- Able to maintain proficiency regarding job requirements as determined by annual assessment of job competency.
- Demonstrate the ability to be a team player and possess a willingness to perform duties that are assigned or delegated to him/her as well as a willingness to perform duties of other employees as needed.

- Maintain confidentiality of all work information, clinic information and patient information.
- Participates in identifying problems and suggesting solutions
MINIMUM QUALIFICATIONS:
· Medical Assistant with a minimum of 5+ years of IVF experience
DESIRED QUALIFICATIONS:
· Registered Nurse
· 10+ years of IVF experience
· Sales experience a plus
Please note, compensation is based upon experience and certification. This position will begin at the Beverly Hills location, and may expand to other locations based on growth.
