Summary: Responsibilities include driving the ReproTech company vehicle to various fertility clinics of the designated office which provides long-term storage of reproductive tissues. These activities include performing pickup and deliveries of reproductive tissue, safely operating the company vehicle, and carrying shipping tanks between clinics and vehicle. It is expected that all ReproTech drivers have an understanding of basic tank maintenance and be able to troubleshoot any issues that may occur en route. When not actively completing clinic visits, in-office responsibilities include performing the day-to-day activities of the designated office. These activities include opening/closing/ongoing maintenance of accounts, processing/documenting/distributing electronic & paper documents, as well as some billing/AR activities. It is expected that the NV Medical Transport & Administrative Support Specialist will work both independently and as an integral member of the office team and have a deep understanding of all ReproTech systems and procedures.
ESSENTIAL DUTIES and RESPONSIBILITIES MEDICAL TRANSPORT SPECIALIST:
- Perform numerous specimen pick-up and deliveries via in-person visits to clinics every week/month, based on clinic needs—will be the primary RTL driver and expected to go on all clinic visits, which may be multiple days per week and/or multiple weeks per month.
- Ability to go on overnight trips & work extended shifts of 8+ hours (up to 16)
- Basic handling of shipping tanks & their secure packing in vehicle
- Ability to understand and take appropriate action if a shipping tank starts to fail en route, including but not limited to:
- understanding how tank probes work & how to respond to alarms
- ability to check/document cryoguards
- ability to move canisters from one shipping tank into a backup tank
- Understand how shipping tanks are packed and transfer verification documented
- Ongoing maintenance of mushrooms, including cleaning & labeling
ESSENTIAL DUTIES and RESPONSIBILITIES ADMINISTRATIVE SUPPORT SPECIALIST:
- Client Depositors: document prospective Client Depositor account status, record data, create invoices, and receive payments in Acumatica
- Client Depositors: create accounts, coordinate correspondence (sending test emails & arrival emails), obtain required forms or documents, review all accounts for accuracy
- File maintenance/archiving of tank room documents
- Review electronic files for all testing and forms required for specimen storage
- Prepare shipping forms and documents
- Process inbound client documents, adding notes to client account in Acumatica and delivering information to appropriate staff
- Receive, sort, and distribute mail, and process checks
- DocuSign File organization/review/follow-up
- File Reviews
- Understand Final Disposition of specimens
- Document the termination of accounts
- Inactive Accounts: file maintenance/disposition of documents
- Follow up on Auto Charge Declines, Financial Assistance, Minor Clients, Deceased Client Depositors, etc.
- Assist in monthly pre-invoicing tasks & clean up, as needed
- Third Party billing tasks, as assigned
- Assist with Change Order revisions
SECONDARY DUTIES AND RESPONSIBILITIES:
- Assist with special projects assigned by supervisors or management
- Perform duties as outlined and other duties as assigned
- Work with site team to identify areas of needed improvement or updates
- Work with site team to identify and streamline processes
- Order Office Supplies
- Quarterly recording of marketing supplies and inventory

QUALIFICATIONS:
Experience in the reproductive medical field, health sciences, or laboratory and a working knowledge of reproductive terminology a plus
- Ability to interact & communicate with clinic staff during in-person visits in a professional manner
- Excellent communication skills, including telephone and written skills
- Excellent organizational skills with a strong attention to detail required
- Flexibility and a positive attitude are essential
- Ability to perceive differences in colors and read very small print consistently
- Physical requirements which include excellent fine motor skills, lifting 30+ lbs., bending, standing on feet, sitting/driving for extended periods
- Extremely safe driving skills, clean driving record, ability to confidently/safely drive/maneuver large cargo vehicle (special driver’s license not required, C-class sufficient, currently Ford Transit vehicle)
- Ability/Flexibility to travel on overnight trips and work long shifts (sometimes up to 16 hours)
