Fistula Foundation combines the dynamism of a lean startup with the stability of a mature organization. We are demonstrating to the world that a new approach to women’s health can change the trajectory of women’s lives and have a profound impact on local communities.
An estimated one million women in Africa and Asia suffer from obstetric fistula, a debilitating childbirth injury that leaves a woman incontinent and, as a result, too often abandoned by her family and shunned by her community. Surgery is the only cure, which we deliver through partners in 31 countries across Africa and Asia. Since 2009, we have provided more than 100,000 free, life-transforming surgeries to women in need.
Each year since 2006, we’ve received thehighest rating from every nonprofit sector watchdog group. Charity Watch gives us an “A” grade and lists us as a Top-Rated Charity, and GuideStar has awarded us Platinum Participant status—the highest designation available to charities. We have also earned the recognition of leaders such as Pulitzer Prize winner Nicholas Kristof, Grammy winner Paul Simon, and internationally renowned ethicist Peter Singer.
The Opportunity: Office Manager / Bookkeeper
The Office Manager oversees the office's day-to-day operations, ensuring that the Foundation runs efficiently and that all team members have what they need to succeed. In addition to office management and administrative duties, the Office Manager will handle light accounting tasks, including corporate credit card reconciliations and assisting with financial record-keeping.
The ideal candidate will have excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. As the Office Manager, you will play a crucial role in maintaining a productive and professional work environment while supporting the operational and financial aspects of the Foundation. This position reports to the Senior Finance Manager.
Key Responsibilities:
Office /Administration Support: 70%
- Ensure the office is clean, organized, and well-stocked with supplies.
- Manage 3rd-party vendors related to the Foundation’s day-to-day operations.
- Serve as primary liaison with IT consultant to triage office technology issues and track resolution.
- Serve as primary liaison with property management, ensuring timely resolution of facility issues.
- Work with Senior Finance Manager on annual verification requests including the Fair Pay for Northern California Nonprofit Survey, state nonprofit registrations, and BBB rating survey, among others.
- Support HR lead with staff transitions, employee benefits administration, and new-employee onboarding and training.
- Oversee the Injury and Illness Prevention Program, including the maintenance of emergency protocols and support communications.
- Assist with general administrative needs, including the scheduling and preparation of three board meetings per year and donor mail production, among others.
- Oversee staff birthday and other office celebrations.
- Lead special projects to improve and document office workflows.
- Provide occasional backup phone support.
Accounting Support: 30%
Provide accounting support assigned by Senior Finance Manager including:
- Process accounts payable:
- Receive, verify for accuracy, and input invoices. Review invoices for appropriate documentation and approval prior to payment. Research and correct discrepancies. Coding invoices to the correct G/L account.
- Manage vendor relationships, requests, and payments in a timely manner.
- Process payments once approved, and submit positive pay data to the bank.
- Reconcile credit card statements and collect receipts, book credit cards transactions into Financial Edge.
- Post entries after approval.
- Conduct data entry and maintain accurate records (filing invoices, receipts, etc.)
- Assist with inputting journal entries for various types of accounts.
- Assist with month end close assigned by Senior Finance Manager.
- Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
Qualifications:
- Excellent communication and interpersonal skills.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office Suite and familiarity with office management software.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Ability to work independently and as part of a team.
Preferred Experience:
- Prior experience in an accounting or bookkeeping role.
- Knowledge of G/L coding and accounts payable processes.
- Familiarity with time entry systems and billing procedures.

We also offer a competitive salary that starts at $60,000 – 70,000 based on qualifications, with the potential for performance-based bonuses and increases.
This position is based in San Jose, California. The Foundation has adopted a hybrid work model that allows staff members to occasionally work remotely.
