Fertility Center of San Antonio is a leading fertility center dedicated to helping individuals and families achieve their dream of parenthood. We are seeking a detail-oriented and organized Fertility Laboratory Administrative Assistant to support our andrology, embryology and clinical team with essential administrative tasks. This role is crucial in ensuring smooth lab operations, maintaining compliance records, and assisting with patient coordination.
Schedule: Monday-Friday 7:30am to 3:30pm
Responsibilities
- Maintain and organize patient records, lab reports, and compliance documentation.
- General administrative duties include: answering phone calls, filing, and maintaining the appointment calendar for the laboratory.
- Input and update data in the laboratory information management system.
- Serve as a liaison between the andrology/embryology lab, clerical staff, and patients.
- Assist with patient paperwork, consent forms, and scheduling.
- Support the laboratory team with administrative duties, scheduling, and reporting.
- Assist with preparing documentation for audits and regulatory inspections.
- Prepare laboratory charts for IVF patients.
- Coordinate embryo/oocyte/sperm shipping and receiving with other facilities.
- Provide excellent customer service when interacting with clients or visitors.
- Manage phone communications with professionalism and courtesy.
- Ensure compliance with HIPAA, CAP, CLIA, and FDA regulations.
- Collaborate with team members to uphold safety protocols and maintain cleanliness in the lab.
Qualifications
- Strong time management skills to prioritize tasks effectively.
- High school diploma required; associate or bachelor’s degree preferred.
- Experience in a healthcare or laboratory setting is a plus.
- Strong organizational and multitasking skills.
- Excellent communication and customer service abilities.
- Proficiency in Microsoft Office (Excel, Word) and medical software systems.
- Knowledge of HIPAA and confidentiality protocols.
- Experience with EMR is a plus.
