Overview
The IVF Nurse Coordinator (RN) plays a pivotal role in delivering personalized, compassionate care to patients navigating infertility treatments, including egg freezing, IUI, IVF, and egg/sperm donation cycles. This role involves a combination of direct patient care and administrative duties. The ideal candidate is detail-oriented, highly organized, and possesses strong emotional intelligence. They thrive in a dynamic, fast-paced environment and are adept at working both independently and as part of a collaborative team. Success in this role requires adaptability, problem-solving skills, and a commitment to delivering an exceptional patient experience.
Essential Responsibilities
- Educate patients and partners on procedures and tests related to infertility, insemination, IVF, FET, and egg vitrification.
- Guide patients through the IVF process: review and interpret lab/ultrasound results and their implications, coordinate referrals, provide education surrounding medications prescribed & interventions when needed.
- Coordinate patient care and infertility treatment plans with physicians and the REI team leading up to the start of treatment (e.g. egg freezing, IUI, IVF, and egg/sperm donation cycles) utilizing phone, email, text, Zoom, and secure patient portals.
- Ensure daily accountability for infertility/IVF patients during fertility treatment cycles, including tracking ultrasounds, lab tests, physician orders, and other related activities.
- Provide compassionate emotional support to patients throughout their infertility journey.
Other Responsibilities
- Schedule and coordinate REI stim reviews with the physician and REI team during patient cycles.
- All patient interactions and treatment plans in the EMR system from start of fertility treatment through graduation from treatment.
- Manage patient scheduling and coordinate with laboratory and office teams for ART scheduling.
- Ensure timely completion of all communicable disease testing.
- Assist with quality improvement requirements.
- Maintain professional credentials and standing by participating in continuing education and professional organizations.
Qualifications
- Fertility Knowledge: Must feel comfortable and confident independently navigating patients through the IVF process. Must have familiarity with common IVF protocols.
- Work Environment: Must maintain a quiet, private workspace to comply with HIPAA confidentiality requirements.
- Problem-Solving: Strong problem-solving skills, with the ability to think critically and adapt to changing circumstances. Must be comfortable working independently with limited overhead guidance in a busy clinic.
- Emotional Intelligence: High emotional intelligence, with the ability to provide compassionate care and support.
- Organizational Skills: Strong organizational and time management skills to handle multiple patient cases efficiently.
- Communication Skills: Excellent written and verbal communication skills, with the ability to convey complex medical information clearly.
- Motivation: Highly motivated, driven, and self-starting individual who can work independently in a fast-paced, remote environment.
Education/Experience Requirements
- Must hold and maintain an active Registered Nurse (RN) license in Kentucky.
- Bachelor’s degree in Nursing required
- Minimum of 2 years experience as a Registered Nurse in a clinical setting is required.
- Previous experience as an IVF Nurse Coordinator or in an OB/GYN setting is strongly preferred.
- Third party experience preferred but not required.
- Experience with IMS Fertility EMR would be a bonus
- Required to have or obtain certifications in Basic Life Support (BLS) and/or Advanced Cardiovascular Life Support (ACLS) and American Society for Reproductive Medicine (ASRM) nurse certifications.
