Pacific Northwest Fertility & IVF Specialists, a state-of-the-art clinic offering a wide variety of treatments ranging from basic care to the most advanced fertility technologies, is looking for a full-time Financial Coordinator to join our team at our Seattle location. This position is an integral part of our patient care model and vital to helping us create a positive experience for each individual.
The Financial Coordinator role is an ideal opportunity for those seeking to be an integral part of the patient journey. This position will allow you to engage with the patient throughout their journey while working closely with a multidisciplinary team to provide excellent patient care. The Financial Counselor is responsible for providing timely benefit and pricing information to patients, along with ensuring patients are financially cleared for treatment.
RESPONSIBILITIES
· Responsible for managing cycle status for assigned patients, financially clear patients for treatment.
· Send payment reminders to patients.
· Provide costs for all services and programs to patients.
· Calculate out of pocket cost estimates for patients with insurance.
· Educate patients about their insurance coverage and benefits, including deductible, copay, coinsurance, estimated out of pocket costs, and claims processing/denial questions.
· Ensure signed self-pay documentation on file for patients without proper benefits or authorization.
· Maintain patient accounts by updating alerts, billing notes, personal, financial, and insurance details.
· Collect and post patient payments, applying patient credits to outstanding balances when applicable.
· Submit request referrals, authorizations, and predeterminations and confirm authorization has been received prior to cycle start.
· Review future schedule to ensure pre-authorization and pre-payments have been collected prior to appointment.
· Review loan programs with patients lacking insurance benefits.
· Serve as a liaison to resolve billing issues with the billing team.
· Collaborate with the clinical team to communicate accurate financial obligations.
· Provide receipts and ledgers to patients upon request.
· Speak with patient on the phone and respond to assigned patient portal/email and voice messages within 48 hours.
· Communicate with front office, lab, clinical, and billing team regarding scheduling, patient treatment, and financial counseling needs.
· May be assigned special projects or other assignments and work tasks to assist the team.
· Other duties as assigned.
POSITION REQUIREMENTS
· Minimum 2 years of experience in a medical office preferred.
· Basic knowledge of insurance and medical billing required, including strong understanding of insurance co-pay, co-insurance and deductibles.
· Strong technical aptitude to not only operate standard office equipment but also relevant software such as Microsoft Word, Excel, Outlook, EMR & Practice Management Systems and other applications.
· Strong communication, organizational, and multitasking skills.
· Proven ability to problem-solve and perform critical thinking.
· Demonstrates ability to manage multiple, changing priorities in an effective and organized manner.
· Requires good listening, interpersonal and communication skills, and professional, pleasant and respectful telephone etiquette.
Must be able to exhibit a high level of empathy with the ability to effectively communicate with patients with a professional demeanor.
