At the UConn Health, in the Department of Obstetrics & Gynecology, this position is accountable for independently providing administrative management and/or advanced technical program support for the Ob/Gyn Residency Program.
SUPERVISION RECEIVED:
Works under the general supervision of an employee of higher grade.
SUPERVISION EXERCISED:
May lead/supervise lower level employees as assigned.
EXAMPLES OF DUTIES:
Plans workflow, determines priorities, schedules, assigns, oversees and reviews the work of assigned staff; provides guidance; assists or conducts performance evaluations
Proactively manages the residency program and/or complex programs and projects including monitoring and tracking progress and status to ensure goals are achieved, including by not limited to Clinical Competency Committee (CCC), Program Evaluation Committee (PEC), QI progress, ACGME requirements, GME requirements
Manages overall accountability for implementing program initiates, including Program Improvement Projects (PIPs) such as mentorship programs and diversity initiatives
Develops program's budget, schedules, milestones, implementation, infrastructure and delivery plans
Consults with internal and/or external constituents to scope and define program objectives and goals
Establishes cross-functional team to collaborate and partner with other managers and business areas to ensure all workflow processes and interdependencies are identified and addresses, and to obtain agreement from all impacted parties, specifically different sites, various clinical groups and other outside programs/agencies
Influences change within the program to improve performance results, organizational effectiveness, systems, quality and/or services by working with leadership team
Serves as program liaison to partners, training programs and participants
Assists program leadership to identify solutions to issues that negatively impact the program, including managing personnel matters, letters of deficiency, approved leaves and act as liaison GME and CAHC partners
Develops and implements new ideas, policies and procedures that support work and team, applying Six Sigma ideology for overall program and process improvement
Performs other related duties as required:
MINIMUM QUALIFICATIONS REQUIRED:
KNOWLEDGE, SKILL AND ABILITY:
Knowledge of applicable program rules and regulations; knowledge of business math; considerable
knowledge of proper grammar, punctuation and spelling; considerable knowledge of business
communications; knowledge of medical/technical terminology; considerable knowledge of office
procedures; oral and written communications skills; considerable interpersonal skills; data
management skills; ability to schedule and prioritize work; some supervisory ability.
EXPERIENCE & TRAINING:
General Experience:
Six (6) years of administrative experience working in an academic and/or healthcare environment.
SUBSTITUTIONS ALLOWED
Bachelor's degree and two (2) years of relevant experience may be substituted to the general
Experience.
PREFERRED EXPERIENCE:
Knowledge of RAS (Electronic Residency Application Service). The Association of American Medical Colleges (AAMC) developed ERAS - the Electronic Residency Application Service to transmit residency applications, letters of recommendation, Dean's letters, transcripts, and other supporting credentials from medical schools to residency program directors
Knowledge of ResidencyCAS (Centralized Application Service) - a new system that will be used by UConn Health for the OB/GYN residency program
Advanced experience with complex computer programs such as Microsoft Word, Excel, PowerPoint, MyEvaluations.com, Blackboard and Amion.
Experience administering all aspects of residency or fellowship programs
Knowledge of the HuskyBuy system
Excellent organizational skills, ability to multi-task, and exercise good judgment
SCHEDULE: Full time; 40 hour work week, Monday through Friday, 8 am - 4:30 pm 30 min unpaid meal break.
