We are seeking a Booking Coordinator to join our dedicated team. As the first point of contact for new patients, this role is vital in creating a welcoming and supportive environment while facilitating the initial stages of their journey.
Key Responsibilities
1. Patient Interaction:
- Serve as the primary contact for patients beginning their fertility journey.
- Address inquiries from potential patients to ensure the clinic offers the treatments they seek.
- Provide empathetic and professional responses to patient questions and concerns, offering an overview of timelines and processes.
2. Scheduling and Coordination:
- Schedule consultations and manage patient appointments in the clinic calendar.
- Confirm consultation appointments, ensuring patients complete intake evaluations and medical histories before their visits.
- Maintain the Medical Director calendar, filling gaps from cancellations to maximize scheduling efficiency.
- Set up new patients in the clinic's eIVF program, ensuring accurate recordkeeping and onboarding processes.
3. Documentation and Compliance:
- Maintain accurate patient records, including medical histories, requested treatments, and financial transactions, while ensuring compliance with clinic policies and healthcare regulations.
- Safeguard patient confidentiality in adherence to HIPAA, PHIA, and other relevant standards.
- Fax appointment confirmations to general practitioners and outgoing referrals (e.g., hysteroscopies to gynecologists).
4. Financial Management:
- Invoice patients and process payments efficiently and accurately.
- Assist patients with insurance documentation and financial navigation to streamline their experience.
5. Team Collaboration and Metrics Reporting:
- Work closely with physicians, nurses, laboratory staff, and administrative teams to ensure coordinated care.
- Provide daily metrics to leadership, including dates of contact and booked appointments, to monitor and optimize operational performance.
6. Quality Assurance:
- Contribute to quality assurance initiatives, maintaining high standards of care and identifying areas for improvement.
- Monitor patient feedback and satisfaction to continuously enhance the patient experience.
Essential Qualifications
Education:
- Medical Office Assistant (MOA) Diploma or equivalent experience in a healthcare setting is preferred
Experience:
- 2-3 years of experience in a patient-facing role, preferably in fertility or reproductive health.
- Familiarity with electronic medical records (EMR) systems and healthcare management software (e.g., eIVF) is preferred.
