Lab Administrator Job Description
The IVF Laboratory Administrator is responsible for overseeing the administrative and operational support functions of the IVF laboratory. This role ensures the laboratory runs efficiently by coordinating logistics, supporting compliance and documentation, facilitating communication between teams, and assisting with scheduling, inventory, and quality systems. The administrator acts as the central hub for the lab’s non-clinical activities, supporting both scientific staff and leadership.
Essential Job Functions include:
Administrative Operations
· Coordinate daily administrative activities to support embryologists, andrologists, and lab leadership.
· Maintain and organize laboratory documentation, reports, and correspondence.
· Support scheduling of patient cycles in alignment with lab availability and staffing.
Data Management and Reporting
· Assist with logging of quality control and quality assurance metrics.
· Support laboratory personnel in data entry and retrieval using EMR and laboratory information systems (LIS).
· Coordinate and prepare for specimen transport in/out of the facility.
· Manage Cryopreserved inventory records.
· Preparation and review of all laboratory worksheets for upcoming treatments. Review of required documentation such as orders, consents, etc. for completeness and accuracy. Review of completed records and transcription of outcomes data in data management programs.
· Manage testing requisitions for PGT-M and PGT-SR.
Communication and Team Support
· Facilitate cross-departmental communication between lab, clinical, and administrative teams.
· Schedule lab meetings and maintain minutes or follow-up tasks as needed.
· Establish and maintain effective working relationships with patients, medical, and administrative staff.
Laboratory QC tasks
· Perform routine quality control and preventative maintenance on assigned instruments and equipment according to established schedule and procedure.
· Record on instrument logs any repairs, replacement, and maintenance needed of equipment. Manage service reports and ongoing maintenance.
Education and Experience:
· Bachelor’s degree (B. A.) from four-year College or university in health care administration, preferred. Will consider High School graduate or some college.
· One to two years of administrative or coordinator experience and/or training in a healthcare or laboratory setting preferred (IVF or clinical lab is an advantage).
· Ability to access, input, and retrieve information from a computer. Experience with EMR systems
· Knowledge of Microsoft products (Word, Excel, Outlook)

· Ability to communicate accurately and concisely with patients while demonstrating compassion and understanding for their situation
· Ability to communicate effectively, with coworkers and supervisors
