Position: Front Desk
Reports To: Administrative Manager
The Front Desk employee must be a very detail-oriented individual who recognizes the importance of customer service as the first impression of Catawba Women’s Center. Outside of the essential tasks listed below, the individual should always remember the service-oriented nature of our business and strive to make every patient encounter a positive experience.
Responsibilities will include:
Greet and welcome all patients and guests to the practice.
Direct or escort patients and guests to the appropriate seating area.
Verify insurance coverage, update insurance information in practice management system.
Print encounter ticket.
Alert provider/nurse if patient arrives late or if insurance problems delay check-in process.
Print and deliver patient handouts/forms.
Review HIPAA form with patient and deliver Notice of Privacy Practices to new patients and established patients upon request.
Gather necessary demographic information and update practice management system accordingly.
Schedule follow-up appointments per provider templates, according to instructions on encounter/fee ticket.
Collect patient payments and apply to account.
Balance payments posted, prepare deposit and complete daily close.
Work ineligible insurance coverage prior to patient appointment.
Assist in rescheduling appointments due to surgery, vacations, etc.
Maintain a neat and orderly, well-organized work area. Assist in keeping patient common areas including all waiting areas neat and tidy.
Assist in preparation of patient packets as directed by Administrative Manager; these include, but are not limited to, early OB packet and Oh Baby/OBI handouts.
Education: High School Diploma or GED. Preference may be given to candidates with a college diploma or certificate in medical office assisting, health care management, or office systems technology.
Experience: Prior medical office experience preferred but not required.
Special Skills: Must be attentive to accuracy, detail-oriented, punctual, well-organized and behave maturely and professionally while representing Catawba Women’s Center. Able to work with a minimum of supervision and to work well with a variety of constituencies and a diverse patient population. Keyboarding speed and accuracy is essential.
The Front Desk department as a whole has specific tasks that are assigned to certain employees. This job description is intended to be a guideline of the most common assignments that are handled throughout the department.
With all positions, assignments and duties may change from time to time depending on the needs of the company or special projects that may arise.
