Position: Full-Time Receptionist

Location: [New York, NY]

Salary: Competitive, commensurate with experience

Key Responsibilities:

Greeting and Welcoming Patients: Warmly welcome patients and visitors as they arrive at the office, creating a friendly and professional atmosphere.
Appointment Scheduling: Manage the scheduling of appointments for patients, including new consultations, follow-up visits, and procedures, ensuring that the schedule is organized and efficient.
Patient Registration: Assist patients with the registration process, including collecting personal and insurance information, updating patient records, and verifying insurance coverage.
Answering Phone Calls: Handle incoming phone calls, directing inquiries to the appropriate staff members, scheduling appointments, and providing information about services offered by the OBGYN office.
Handling Inquiries and Messages: Respond promptly to patient inquiries, requests for information, and messages left by patients or other healthcare providers, maintaining clear communication channels.
Insurance Verification and Billing Support: Verify patient insurance coverage, obtain pre-authorizations for procedures when necessary, and assist with billing inquiries, working closely with the billing department.
Medical Records Management: Maintain accurate and confidential patient records, including updating demographic information, scanning documents into electronic health record (EHR) systems, and ensuring compliance with HIPAA regulations.
Collecting Payments: Collect patient copayments, deductibles, and outstanding balances, accurately recording payments received and providing receipts as needed.
Maintaining Reception Area: Keep the reception area clean, organized, and well-stocked with informational materials, magazines, and other resources for patients.
Coordinating Referrals and Follow-ups: Assist patients in scheduling referrals to other healthcare providers or specialists as needed, and follow up to ensure that patients receive timely and appropriate care.
Assisting with Administrative Tasks: Provide administrative support to the office staff, including filing paperwork, preparing documents, and performing other clerical duties as assigned.
Emergency Response and Crisis Management: Handle emergency situations calmly and efficiently, following established protocols for managing urgent medical situations and ensuring patient safety.
Maintaining Professionalism and Confidentiality: Uphold professional standards of conduct, maintain patient confidentiality at all times, and adhere to the OBGYN office's policies and procedures.
Continuous Learning and Development: Stay updated on medical terminology, office procedures, and industry regulations through training programs, workshops, and self-directed learning initiatives.

Standard Requirements:

Previous experience in healthcare administration or a related field is highly preferred.
Proficiency in medical terminology, procedures, and insurance authorizations is advantageous.
Strong organizational and time management skills, with exceptional attention to detail.
Excellent communication and interpersonal skills to interact effectively with patients and healthcare professionals.
Ability to handle confidential information with discretion and maintain patient privacy.
Proficient computer skills, including electronic medical records (EMR) systems and Microsoft Office Suite.
