About Our Team/Mō Te Tīma
Divisional Services and Administration is a team of highly skilled professionals responsible for delivering outstanding student and staff experiences through high quality, confidential secretarial and administrative support services. We are a strong supportive whakawhanaukataka (community), proud of the work we do as the largest workforce in the university, spanning every corner of the motu.
The role/Te mahi
We are seeking to appoint two exceptional Administrators to provide support to the Department of Preventive and Social Medicine (PSM) and Department of Obstetrics, Gynaecology and Women’s Health (O&G).
Each of these positions plays a vital role in the operational running of the department.
Within PSM you will provide administrative support to the Head of Department and general administrative support to the Department as a whole. In the O&G position, your focus will be to provide teaching support for 5th and 6th year medical students, postgraduate students as well as the Head of Department.
Key responsibilities in both roles include:
- Diary management and email triaging.
- Managing meeting attendance and other general administrative services.
- Operational support, i.e. travel and accommodation bookings, transactional finance administration.
- Coordinating and supporting Human Resources processes.
We are also seeking candidates for Kaiwhakahaere Tari and Pacific Peoples positions, which support the implementation of our Māori Strategic Framework and Pacific Strategic Framework. Your skills and experience/Kā Pūkeka Me Kā Wheako
You will have excellent time management and critical thinking skills. You are a good communicator with strong attention to detail, and a collaborative and engaging style, and a commitment to achieving positive outcomes.
You are passionate about accuracy, continuous improvement and have a high level of independence and initiative.
You will be working with people from diverse backgrounds, so outstanding listening skills and strong cultural awareness is key.

- Previous experience in a busy administration environment and a passion to deliver exceptional service to customers.

- Expertise in Microsoft Office Suite, with ability to adapt and navigate new systems.

These are both permanent, full-time (37.5 hours) positions, based in Ōtepoti, Dunedin.
The appointment range for this role is $61,360 to $65,879. Top of the range is $71,150.
