The Pelvic Pain Foundation of Australia (PPFA) is dedicated to advancing the understanding and treatment of pelvic pain, a condition that affects a significant portion of the population. Established in 2014, PPFA focuses on raising awareness, providing education, and supporting those impacted by chronic pelvic pain, including conditions such as endometriosis. The foundation aims to reduce the burden of pelvic pain through community engagement, professional development, and innovative educational programs.
PPFA is a registered charity and is supported by a highly qualified Board of Directors, a General Manager, National PPEP Talk® Manager, Finance Manager and 10 Clinical Educators, situated around Australia.
The Pelvic Pain Foundation of Australia (PPFA) is seeking a skilled and proactive Operations Coordinator to support our management team and deliver impactful programs. This role blends administrative support, operational coordination, and digital marketing, requiring a highly organised and results-driven professional who aligns with PPFA's mission and values.
Administrative Support
- Provide administrative support for national campaigns, marketing, corporate partnerships, and fundraising initiatives.
- Coordinate schedules, meetings, and event logistics, including minute-taking and invitations.
- Manage PPFA and PPEP Talk® inboxes, responding to queries about health programs, shop orders, and training.
- Responsible for the maintenance and operations of the PPFA online Shop including, but not limited to sending orders, dealing with customer enquiries and refunds, inventory ordering and management including monthly stocktakes and general maintenance of inventory system.
- Assist with the auditing of evaluation surveys from PPEP Talk® in PaperSurvey software.
- Assist with team credit card reconciliation and occasional travel bookings.
- Assist with stakeholder reporting and project management tasks across States and Territories.
Digital Marketing & Website Management
- Responsible for PPFA’s website and liaising with external providers for technical support and updates.
- Design social media posts and documents using Canva while maintaining brand consistency.
- Manage Mailchimp newsletters and social media platforms.
Event & Stakeholder Management
- Support the planning and coordination of events, including PPFA’s annual health professional seminar and bi-monthly sessions.
- Build relationships with stakeholders and uphold PPFA’s values of inclusivity, respect, and service.
Other work as required from time to time.

Qualifications
- 2-3 years of experience in high-level administration, continuous improvements or project coordination roles.
- Proficiency in Microsoft 365 (Outlook, SharePoint, Excel).
- Familiarity with WordPress, HubSpot CRM, Canva, and Mailchimp is desirable.
- Strong written and verbal communication skills, with a client-focused approach.
- Event management experience, particularly in health-related settings or Not for Profit sector, is highly regarded.
- Current driver's license and reliable vehicle (mileage reimbursement provided).
- Occasional local and interstate travel required.
- Some afterhours work required during 3-day annual seminar.
- Knowledge of women’s health, pelvic pain or lived experience of chronic pain is not required.
Other Details
- 30 hours per week.

- Possess or be willing to undertake a Working with Children and National Police Check.
- The ideal candidate will be based in Brisbane (Herston) and enjoy a hybrid working arrangement.
- Salary packaging up to $15,900 p.a. allows you to allocate a portion of your pre-tax income to cover living expenses (e.g. rent, mortgage, childcare, car leasing expenses etc.)
