The Position

The Opportunity
As an Administration Specialist, you will deliver high-quality administrative, coordination, and documentation support across Chapters and functional teams. You will enable efficient business processes, ensure compliance, and keep operations running seamlessly.
What You Will Do
- Provide administrative and operational support across teams, ensuring timely and high-quality execution of tasks
- Coordinate business travel arrangements, including flights, accommodation, transportation, and related documentation
- Manage expense submissions in Concur and ensure timely, accurate processing with no monthly backlogs
- Handle document signing workflows (wet signatures, DocuSign routing) and maintain proper filing and document control
- Support internal events by coordinating with vendors, event teams, and internal stakeholders
- Maintain and update agreement trackers, ensuring accurate status, renewals, and alignment with COREMAP and compliance requirements
- Manage administrative requests and vendor-related processes, including due diligence and speaker bureau administration
Who You Are
You’re someone who enjoys supporting teams, keeping operations running smoothly, and working in a dynamic, fast-paced environment. You are structured, detail-oriented, proactive, and able to work with multiple stakeholders at all levels.
You bring:
- At least 3 years of experience in administrative, office management, or coordination roles, supporting multiple stakeholders in a fast-paced, cross-functional environment
- Strong organizational and administrative skills with high attention to detail, and the ability to manage multiple priorities while maintaining accuracy and structure
- Excellent interpersonal and communication skills, with the professionalism to engage effectively at all levels and maintain confidentiality while following disciplined processes and compliance requirements
- Familiarity with document control, structured filing systems, compliance workflows, and good documentation practices, paired with a proactive, solution-oriented mindset and continuous-improvement approach
- Proficiency in English (written and spoken), and comfort working with tools such as Google Suite, Concur, MyBuy, DocuSign, and document management systems
