Location - This role is hybrid with a mix of remote and in-person work at North Campus Edmonton.
The Office of Rural and Regional Health (ORRH) collaborates closely with educational partners throughout Alberta's Faculty of Medicine & Dentistry, as well as rural and regional communities, to deliver medical education to undergraduate and postgraduate learners.
The Community Medical Education Program Administrator (MEPA) is designed to fulfill several key responsibilities. Principle among these is the administrative role supporting distributed medical education through Preclinical Networked Medical Education (PNME). PNME is a 6-week program that places 40-plus second-year medical students to complete their Gastroenterology & Nutrition (GI) and Reproductive Medicine & Urology (Repro) blocks in 9 rural/regional settings within Alberta.
The Community MEPA, reporting to the Team Lead, ORRH, will assist the Team Lead, ORRH, the Manager, Office of Education, the Administrator, Rural Programs, as well as program-specific educational Site Leads, to ensure the smooth operation of PNME. In addition, the Community MEPA will be responsible for coordinating the delivery of PNME with other rural medical education programs delivered in the same communities. Rural and regional Site Leads will be important collaborators in the coordination of clinical access for medical students and aligning their schedules with other medical learners who may be in the community simultaneously.
The Community Medical Education Program Administrator will collaborate with the Rural Community Engagement Coordinator and the Rural Faculty Liaison to assist in coordinating faculty development events and rural site visits. Occasional travel between rural and remote communities and Edmonton will be encouraged as per program requirements.
Additionally, secondary roles for the Community MEPA will be to liaise with the cohort of medical students at the U of A who participate in the Rural Medical Interest Group (RMIG) and the North of 60 club. These student groups are an important way for the ORRH to interact with students.
Finally, this position provides administrative support for key activities within the Office of Education (OoE), specifically for the J Albert Gilbert Chair for Medical Education (JAG) and the FoMD Education Awards Subcommittee (EAS). Key responsibilities include supporting the administration of medical education grants, summer student awards for medical education grants, and the visiting speakers’ series. The position will work collaboratively with various Education Leads, who report to the Vice-Dean Education, to ensure the effective operation of both the JAG and the EAS. The position may also occasionally assist with administration of related research projects.
This position may require travel to communities across northwestern Alberta. It may involve long-distance driving in rural conditions and participation in community events during evenings or weekends.
RESPONSIBILITIES
PNME Student Support (in communities hosting PNME students):
- Build the local schedule for PNME students based on the master schedule with the Administrator, Rural Programs
- Notify medical learners and others as required of scheduled rotations
- Arrange for learners' system accesses (ie EMRs) for the time of their placements with Alberta Health Services (AHS) and rural clinics
- Organize and administer online learning sessions and weekly quizzes from the home site and provide all technical troubleshooting for students
- Consult with medical learners individually, as required, to assist them in understanding the community, practice and learning environments of rural communities of interest to them as possible rotation sites
- Liaise with RhPAP to arrange community housing and assist with troubleshooting issues that might arise
- Collaborate with Team Lead, ORRH and General Administrator to pay program invoices for housing and student mileage reimbursements, etc.
- Serve as the first point of contact for medical learner issues that might arise after hours, such as learner or preceptor concerns, housing, etc
Physician And Community Support:
- Notify preceptors and others as required of scheduled rotations
- Confirm/reconfirm preceptor availability for PNME placements
- Work with community members to build activities and initiatives to welcome students to the community and to help them get to know the community
- Recruit local clinicians for Discovery Learning, dietary module, clinical time, and exam proctoring
- Assist the Rural Community Engagement Coordinator in updating community profiles
- Lessen the administrative burden for the PNME Site Leads by sending reminders to preceptors for student evaluations, clinical experience scheduling, and other tasks as requested by the local Site Lead
- Help coordinate PNME schedules with other learners in the community for clinical experiences in collaboration with the Administrator, Integrated Community Clerkship (ICC), local ICC Site Lead and Family Medicine Resident Site Administrators
- Through the Administrator, Rural Programs assist the Rural Health Professions Action Plan (RhPAP) with accommodation based on local knowledge and connections
- Collaborate with the Team Lead, ORRH and the General Administrator for payment of preceptor stipends
- Provide position backup and vacation coverage for the Administrator, Rural Programs, related to PNME administration tasks
Administrative Support For The Office Of Education, Especially Related To The J Alan Gilbert (JAG) Chair For Medical Education And FoMD Education Awards Subcommittee (EAS) (30%):
- Provide administrative support related to the J Alan Gilbert Chair for Medical Education
- The activities include medical education grants, summer student awards for medical education projects, speakers series, and occasional as overseen by the Chair holder.
For The Medical Education Grant Program, Provides Support Related To Learner, Early Career, Faculty/Academic Staff, Interprofessional Team Grants, And Other Priorities Determined By The Chair, Including But Not Limited To:
- scheduling and facilitating meetings and events related to the grants
- distributing communications, such as to solicit nominations, sending acceptance letters, notifying winners
- organizing award/grant payments, and initiating related financial processes such as purchase orders, P-Card purchases
QUALIFICATIONS
- Post-secondary diploma in Administration (equivalent combination of education and experience will be considered); Post-secondary degree in a relevant discipline an asset
- A valid Class 5 Driver’s Licence and access to a reliable vehicle, as travel may be required.
- Strong proficiency in MS Office and Google Apps
- Willingness to continue to learn and grow in computer and program knowledge
- Excellent communication and interpersonal skills
- Self-motivated with a proactive approach to all duties; must be able to work well independently with limited supervision, as well as part of a larger team
- Knowledge of Undergraduate Medical Education (UME) programs, policies, and processes is considered an asset.
